Job Title: Declarations Officer
Reporting to: C & F Supervisor
Contract: Permanent
Location: Mombasa

Education and experience:
- ‘’O’’ Level certificate with a minimum mean
grade of C.
- Diploma in Clearing and Forwarding from a
recognized college preferably from Bandari College.
- East Africa Customs Freight Forwarders
Practicing certificate (EACFFPC)
- More than six (6) years’ experience in C&F
and at least four (4) years’ experience in a similar position.
- Must be 30 years and above in age
Skills Required
- Able to communicate fluently in English and
Swahili.
- Working knowledge of KRA ORBUS and Simba
Trade-X Systems.
- Working knowledge of KPA KWATOS system.
- Practical experience in port operations.
- Ability to register and lodge documents
through the KNESWS.
- The candidate should exhibit good listening
skills.
- Demonstrated ability to solve problems.
- Candidate should be computer literate.
Main Responsibilities.
- To ensure vessel’s arrival dates are confirmed
to be correct and all shipping line charges are paid on time to secure the
delivery orders.
- To declare and register import entries on time
and advise clients on the correct duty to be paid.
- To print passed import entries and prepare all
the requisite documents on time for lodging at port/CFS of clearance.
- To ensure documents lodged with Customs at the
Port/CFS are complete and clearing charges are secured in time. The same
case should apply to airfreight cargo.
- To ensure containerized and non-containerized
(Loose cargo) are verified and released by all the relevant parties
involved in the process on the same day.
- To ensure that the consignments are
immediately loaded upon completion of verification process in readiness
for delivery to the respective clients.
- To notify the Operations Manager or his
assistant of cargo readiness within reasonable time so that appropriate
arrangements for transport are made.
- To ensure loaded containers leave the port on
the same day of loading.
- To make sure no storage charges are incurred
on any consignment unless the customer delivers documents late and in such
cases ensure that rent should be minimized.
- To ensure import documents received from
clients are thoroughly checked and if any document is missing a formal
request for the same is made immediately.
- To ensure that you track arrival of trucks at
the respective border points and make timely arrangements for clearance.
- To establish and maintain good working
relationships with officers of KRA, KPA, KEPHIS, KEBS, Port Health, Kenya
airfreight handling and transporters to facilitate efficient delivery of
services to our customers.
- To ensure that folders for cleared
consignments are forwarded to accounts in time for invoicing.
- To ensure folders for new import documents are
opened in time and documentation started immediately.
- To track consignments with shipping lines and
obtain cargo Manifest numbers in time for the on-line registration of the
customs entries.
