Job Summary and Key Priorities: ZanaAfrica seeks to grow its Accounting Unit Team and with the addition of a Bookkeeper to work collaboratively with our Hybrids’ CFOs
 

The BookKeeper will be responsible for the overall accounts recievables and accounts payable with some finance functions as assigned. This position will directly work with our sales marketing and programs teams.

The Bookkeeper will additionally be responsible to ensure completeness and integrity for the payroll and tax returns filing as well as participate in the development of day to day short and long term objectives that will assure the continued growth of the teams within ZanaAfrica.

Responsibilities
 
Inventory
  • Purchase supplies and equipment as authorized by management; Monitor office stock and product supply levels and reorder as necessary
  • Asset Management; tag and monitor assets ; ensure all assets are insured and follow through with insurance where needed
Filing & Documentation
  • Maintain historical records by filing documents such as receipts, contracts, agreements etc
  • Comply with federal, state, international and local legal requirements by studying requirements for both entities; enforcing adherence to requirements; filing reports; advising the CFO on needed actions
  • Ensure proper documentation of all payments to staff, Sub grantees and vendors
  • Maintain an orderly accounting filing system
  • Assemble information for external auditors for the annual audit
  • Provide clerical and administrative support to management as requested
Financial
  • Maintain the petty cash funds and ensure accuracy on disbursement, monitoring and accounting and reconciliation
  • Develop systems to account for financial transactions by establishing a chart of accounts; defining bookkeeping policies and procedures
  • Balance subsidiary accounts by reconciling entries; Maintain general ledger by transferring subsidiary account summaries.
  • Conduct periodic reconciliations of all accounts to ensure their accuracy; Balance general ledger by preparing a trial balance; monthly reconciliation of all entries and bank accounts
  • Prepare financial reports by collecting, analyzing, and summarizing account information and trends
  • Provide information to the external accountant who creates the company’s financial statements
  • Calculate variances from the budget and report significant issues to management
  • Verify all payment vouchers for accuracy and completeness before processing and posting into the accounting system-QuickBooks
  • Provide financial and compliance guidelines
  • Manage accounts payable and manage accounts receivable
  • Process payroll in a timely manner & File relevant taxes on behalf of the organistion
  • Prepare financial reports for all teams for submission to management by the 10th of every following month
Procurement and Compliance
  • Monitor and implement procurement policies, including between the hybrid
  • Prepare timely Sub grantees returns for management review; Visit the Sub grantees to monitor their financial performance as need arises
  • Review for compliance with donor and organizational policies/guidelines on all payments
  • Contribute to team effort by accomplishing related results as needed
Other duties as assigned

Required Qualifications
  • CPAIII /ACCA III qualifications, CPAIII and Degree in Finance, Accounting, or closely related field is PREFERRED.
  • Experience in managing FMCG Accounts
  • At least 3 years of experience performing responsibilities required for the position and demonstrating progress in the role.
  • Audit experience and managing of grant funds is desirable
  • Experience in the use of the QuickBooks Accounting Software.
  • Strong team leader and player; Excellent communication, high computer literacy levels (Excel) and interpersonal skills & Strong organizational skills
