Administrative Coordinator Job in Nairobi, Kenya

Role title: Administrative Coordinator

Reports to: Finance Director    

Location:
 Nairobi

Purpose of the role:
 Responsible for administrative functions in the office (including field bookings & purchase orders)

Role deliverables:    
  • Building Maintenance
  • Stores management
  • Issuing of stock
  • Updating of monthly stock records
  • Procurement
  • Sourcing of quotations and analyzing them to ensure selection of supplier offering fair market price
  • Raising of PO’s in maconomy and making a follow-up until final approval.
  • Handling all staff travel
  • Sourcing and analyzing of flight quotation.
  • Monthly flight analysis record
  • Raising of flight PO’s where applicable
  • Petty cash management
  • Sending out and receiving all Couriers.
  • Monthly analysis against the entire courier to make sure we pay for the services rendered this includes our Tanzania and Uganda office by allocating Job names and numbers.
  • Monthly analysis of Usage in Taxis and allocation to respective projects
  • Doing asset verifications on a quarterly basis.
Scope of the role:   
  •  Number of people reporting into this role: 3 (Receptionist, Driver, Uganda Administrative Assistant )
  • Client target: Individual contributor in a team function 
  • Client contact: Contact with internal clients
  • WPP/Regional responsibilities: None
Knowledge and skills required:    
  • Relevant completed diploma/degree
  • Knowledge of procurement policies
  • Strong Organisational and Communication skills
  • Proficient in Microsoft Office applications
  • Proven track record
  • Proficiency in Word, Excel,
  • Strong interpersonal skills and ability to deal with people at all levels
  • Team player
  • Ability to delegate, motivate, train staff and take ownership for subordinates’ work
