General Description of Task(s) and
Objectives to be Achieved: Under
the general supervision of the FAO Representative in Kenya and the Deputy FAO
Representative in Kenya, the direct supervision of the Head of the Programme
Management Unit (PMU) and in full collaboration with M&E, SPCU,
Communication, pillar and/or sector units, the Reporting Officer will perform
the following tasks:
Project Reporting:
- Keep track of FAO Kenya’s reporting
obligations and ensure that FAO Kenya sector teams and other internal or
external stakeholders are informed on time of all requirements;
- Ensure conformity of outputs with FAO Kenya’s
strategy and relevant corporate standards, rules and regulations;
- Edit all project reports prior to submission
(ensuring that they report against required indicators in a concise and
coherent way) and return to the originator if they are of insufficient
standard, highlighting areas that need improvement.
- Make sure monitoring and evaluation and any
other relevant cross-cutting unit has provided inputs for all project
reports;
- Coordinate the process for obtaining required
clearances in accordance with FAO’s regulations and project cycle
management guidelines (e.g. LTU/LTO, Operational and Budget Holder
Clearances); and
- Draft relevant official communication (cover
letters, letters to the Government on approval and closure of a project,
etc.)
Programme Reporting:
- Facilitate the implementation of Planning
& reporting processes that form an integral part of the corporate
strategic framework work (SO output level target setting, work plan and
resource allocation, reporting on results);
- Facilitate the preparation of, and edit, FAO
Kenya’s external programmatic reports, such as the annual report,
quarterly reports aimed at donors, Government or other stakeholders; and
reports based on FAO Kenya’s contribution to inter-agency and Government
strategic frameworks or initiatives (e.g. UNDAF, Country brief);
- Regularly collate information relevant for
programme reporting and identify information gaps in advance, such as
context data, cost benefit analysis, latest beneficiary numbers etc.
Information Management and
Maintenance:
- Develop and maintain relevant contact data for
report purposes in a database (e.g. focal points for each project from the
donor, Government, HQ/RO/SRO technical units, and other partner
organizations); and
- Ensure that all reports and official
communication are saved in a central repository and uploaded to FAO’s
corporate information management system (FPMIS).
- Provide training, technical support and
clarification to staff for reporting and official communication matters.
- Perform any other related duties as required.
Minimum Requirements
Academic Qualifications:
- Bachelor’s degree in International Relations,
Political Science, Law, Communications/ English or related degree in
Development, Economics or Agriculture is required.
Work Experience:
- A minimum of three years progressively
responsible work experience undertaking operational and analytical work in
the field of international humanitarian affairs and/or development or
journalism and professional experience in a similar position supporting a
reporting unit.
Technical Competencies and Experience
Requirements:
- Knowledge of UN procedures and protocols with
bias to the subject matter literacy (agriculture and food security) will
be an advantage.
- A proven track record of relevant work
experience in the computer hardware/software proficiency, word processing,
databases, preparation of electronic reports.
- Experience in writing/developing correspondence.
- Excellent planning, organizational, analytical
and writing skills;
- Ability to work independently and deliver
quality work within tight deadlines.
- Strong inter-cultural communication skills and
ability to work under pressure.
- Excellent spoken and written English.
