Position: Shop Controller
Reporting to: Area
Finance Controller
Range: R3
Role Purpose: The Shop Controller will ensure adherence to all finance controls, processes, and policies in the shop to safe guard daily shop collections, management of all Retail Stocks (physical and virtual), and ensuring all shop business activities are running smoothly with effective supervision of the cashiers and related sales staff.
Key Duties and Responsibilities
Operational
- Overall managing of daily shop collections and
safe keeping of cash and cheques.
- Controlling/signing the cashiers daily counter
balancing book (T165) for cash and stocks, as collections are received in
the strong/room and stocks on hand verified
- Ensuring all cashier and Sales Agents
variances are explained and those not explained are made good immediately,
and excesses formally reported
- Verification/validation (date, amount in words
and figures, signatures, torn cheques, alterations etc) of all cheques
received from the cashiers before banking to avoid cheques
bouncing/dishonoring by the bank.
- Daily banking of cash and cheques or as per
laid down treasury guidelines on banking
- Custodian and managing of orange money shop
imprest, including withdrawals and deposits as need arises and as per laid
down treasury guidelines
- Distribution of orange money float to the
cashier for orange money transactions and daily balancing
- Preparing and circulating orange money daily
returns/reports to Head of Treasury through Area Finance Controller
- Overall management all of retail stocks under
the shop by determining optimal stocks at all time, and returning excess
stocks to central stores
- Ordering of E-Jaze virtual airtime from Stocks
management Section based on a reconciled position and demand
- Responding to
investigation/inspections/cash/stocks count, Internal, and External
audit queries
- Preparing and circulating the monthly Cash in
Transit (CIT) report/returns based on BSS receipts for shop in the
prescribed format on banking and stocks activities with the service
renders , as per the laid down process
- WVAT monthly returns/report of receipted
certificates reconciled/verified with mypos WVAT reports and
supported with the original certificates and circulated to Manager
Taxation through Area Finance Controller
Preparing Reports
- Orange money daily reports
- Monthly stock take and variance analysis
report in liaison with finance rep;
- CIT monthly report based on BSS receipts by
5th of every month
- E-jaze management & reconciliation;
- Prepare and circulate on monthly basis
Withheld value added tax (WVAT) list of supported by original receipts
supported by mypos WVAT detailed report
Academic / Professional
Qualifications
- Bachelor's Degree in business related field,
or CPA final or any other relevant qualification with 2 years good track
record on the job
- Ms Office applications

Key Duties and Responsibilities
Operational
- Daily cash and stocks management at the
cashier point including balancing of cash and stocks records on daily
basis (T165 and any other prescribed format).
- Receiving and receipting cash & cheque
payments from customers based on invoices in the systems.
- Receipting of withholding VAT certificates
(WVAT32) as per guidelines issued from time to time
- Receipting customers electronic funds transfer
(EFTs) after confirmation with credit control and treasury that amounts
are outstanding/awaiting receipting
- Receipting stocks against credit notes, orange
vouchers based on authority and guidelines issued from time to time
- Verify cheques before receipting by confirming
valid date (not post-dated or stale), with no alterations,
signatures, amount in words and figures agree, not torn etc
- Liaise with the strong room controller on
stock availability before initiating stock transactions
- Daily management of orange money float issued
by the shop controller
- Carrying out orange money transactions as per
the laid down processes and policies
- Generating sales orders in the systems
- Formal/Proper cash and stocks handover during
shift change over, leave and exit from the company including signing and
witnessing
- Ensure all unexplained variances on cash and
stocks are made good and excesses formally reported
- Cash and stocks management at the cashier
point;
- Receive bank slips, present to Shop Controller
for verification with Finance Representative before receipting;
- Releasing of receipted stocks;
- Verify cheques by confirming it’s the new
truncated type, with no alterations;
- Disburse staff payments (in the regions) as
per the company policy & procedures.

- CIT monthly report based on BSS receipts by
5th of every month
- E-jaze management & reconciliation;
- Prepare and circulate on monthly basis

Academic / Professional
Qualifications
- Certificate in business related field, or CPA
11 or any other relevant qualification with 2 years good track record on
the job.
- At least 2-5 years experience in
Telecommunication service industry
- Computer literacy
- MS Office
