Project Administrator Job in Kenya

Our client is a recognized leader in confectionery industry with a wide range of product offerings. It is a subsidiary of a global leader in the chocolate and pet-food categories and one of the largest privately owned businesses.  

As a result of growth, our client is seeking to recruit a Project Administrator

Reporting to the Site Technical Manager, the Project Administrator will manage purchase requisition process, logistics tracking, and invoice tracking associated with new factory construction project.

Key Responsibilities

  • Work with the Site Engineering Manager to achieve timely and thorough documentation for project execution and governance. In situations when internal processes may not exist or do not address the activities being requested, the Project administrator needs to develop a solution that meets the requirement and is acceptable to the project owners
  • Timely and quality data input for purchase requisition process including all required inputs as directed by the site technical manager
  • Manage purchase requisition process including confirming timely approvals and coordination with commercial for creating purchase orders after approval.
  • Clear communication with project manager, finance, and commercial manager on status of purchase requisitions
  • Keeping a file of all new factory contracts in soft copy for ease of reference to contract terms, conditions, milestones, and payment terms whenever necessary.
  • Managing log of contract milestones, tracking invoices from suppliers, consultants, and suppliers
  • Managing log of shipments, confirming suppliers provide all shipping documents for tax and duty compliance
Qualifications
  • Bachelor's degree in Business Administration, Accounting, or Finance
  • Professional credentials for project administration, logistics, finance, or accounting will be an added advantage
  • Have 5-10 years experience in finance or commercial administration role
  • Intermediate to advanced knowledge of SAP accounting systems
  • Intermediate knowledge of import documentation processes
  • Intermediate knowledge of good accounting practices
  • Advanced knowledge of supplier relations and supplier management

Other Requirements
  • Must be able to travel to designer's offices, contractor's offices, project site, and to the current factory
  • Availability to lead and participate in conference calls for project team in the evening to be able to connect with all global regions / time zones
  • Must be able to work extended hours on construction work sites
