Vacant Position: Accounts Assistant
Job Summary:Under the supervision of the Accountant, the
Accounts Assistant will support in the financial data processing by the
preparation of documents of original entry, initial date entry and management
of the document filling process.
Specific Responsibilities- Prepare invoices for payment, ensuring
adequate and complete documentation, approvals, and budget codes from
relevant budget holders.
- Maintain a proper filing systems for
accounting documents and vouchers
- Account for travel advances and related
expense claims within policy guidelines.
- Assist in processing project financial reports
and produce relevant reconciliations.
- Prepare and process journal, and enter into
the Pastel system after authorisation
- Ensure proper files, both hard and soft
copies, are maintained to support all transactions processed.
- Undertake any other tasks which may be assigned
by the Accountant.
- Assist in filing and verification of
completeness of the documentation on the donors Files, as well as Project
financial reports.
- Assist in preparation of the half-yeas and
year-end audit schedules.
- Assist in archiving financial files.
- Review telephone and car costs for preparation
of journals and posting into Pastel according to budget codes
- Reconciliation of the administration costs

Supervision and Collaboration
The Accounts Assistant is under the
direct supervision of the Accountant.
He/She works closely with other
colleagues in the Administration, Programmes, Communication and Programmes
Department, as well as the Executive Director.
Qualification and Experience
Qualification and Experience
- Bachelor’s Degree in Financial
Management/Business Administration/Bachelor of Arts;
- Professional qualification: Certified Public
Accountants (CPA), Association of Chartered Certified Accountants (ACCA)
or equivalent; Part qualification will also be considered.
- At least 1 year general accounting experience
preferably within the Non-Governmental Organization’s (NGO) sector;
- Computer literacy: Knowledge of Excel
spreadsheet is essential. Being Conversant with the Pastel
accounting system or other relevant accounting systems will be an added
advantage.
- Fluency in English (spoken and written) and
working Knowledge of French is desirable, although not essential.
