Job Title: Solar Company Operations Officer

Our client has an outstanding career opportunity for an Operations officer to join their company. They are leading internationally recognized vendors of solar generators and shower systems. 

The Operations Executive will be responsible for the overall responsibility of the daily administrative activities of our clients’ branch as well as ensure that the branch is profitable
 
Job Purpose
  • Overall management of a branch
  • Ensure branch is overall profitable
  • To be overall responsible for the daily administrative activities of a branch
  • To ensure effective implementation of SOP on a consistent basis
  • To ensure overall high levels of customer satisfaction – both for walk-ins, and installed systems
Key Responsibilities
  • Know the Company Standard Operating Procedures fully and ensure effective implementation
  • Overall responsible for the branch administrative activities
  • Administer all SOP and essential paperwork at the branch according to filing system
  • Manage and maintain the filing system strictly according to guidelines from the Company
  • Ensure warranty visits due for the month are administered and properly executed in the month due
  • Keep logistics costs for delivery to customer to minimum
  • Track order forms and receipts in line with standard operating procedures and without deviations
  • In case of deviations, execute administration for invoice reversal and de-installation
  • Continually review the availability of marketing literature, and sales tools and indent as required
  • Report necessary sales, collections, etc, on timely basis
  • Ensure consistent and accurate receivables tracking, and provide updates for weekly meeting
  • Ensure consistent complaint reporting through active communication with field and updates
  • Ensure complaints are attended to within 48 hours to the satisfaction of the customer
  • Oversee timely and proper bank remittances in line with company SOP
  • Ensure branch telephone expenses are kept a minimum, and ensure no abuse of telephone privilege 
  • Develop product knowledge and customer skills to handle all walk-ins to generate sales
  • Ensure the branch is maintained in a neat, and clean fashion – both inside, and exterior
  • Attend training when called upon to do
  • Ensure that if branch is audited, the audit results reflect excellent adherence to SOP
  • Ensure staff training at HQ, as per HR guidelines
  • To meet high ethical standards in line with the company culture
Minimum Qualifications
  • University Graduate/Diploma in logistics, accounting, administration or relate fields
  • At least 5  years commercial / accounting /logistics experience (particularly billing, receipt handling, filing, etc)
  • Computer literate (capable of using word and excel and the company’s own IT systems)
  • Strong public relations skills
  • Speedy action and proactive
  • Ability to work independently
  • Accuracy and attention to detail
  • Excellent computer literacy

Job Title: Solar CompanyCustomer Care Executive

Our client has an outstanding career opportunity for a Customer Care Executive to join their company. 

They are a leading internationally recognized design, manufacturing, marketing, sales and after sales Company of Solar Electricity (PV), water heating systems and street lighting. 

They recently received additional funding that will help in setting up and supporting their operations in Africa.

Key Responsibilities
  • Manage customer complaints: get the customer complaints through branches and customer care number on daily basis, update in the system, track the lead-time for complaint closure, and follow up to ensure all complaints are closed
  • Communicate with customers and branches about repair and replacements of defective systems. Ensure systems are replaced in time when required
  • After sales service: despatch monthly preventive maintenance schedule to all branches, get the service reports from branches and update in the system
  • Customer satisfaction survey: conduct customer satisfaction survey over phone to ensure customer’s satisfied with product, installation, service, and report back to management
  • Manage customer database, update all customer and system installation in the system, follow-up with branches for getting all documents and installation details
  • Daily updating activity of customer database
  • Daily reporting of customer complaints to Operations Manager
  • Tracking of customer complaints for 100% closure
  • Ensure customers and branches are informed about status of repair and replacement of defective systems. Monitor systems get replaced on time
  • Release of preventive maintenance schedule to branches
  • Tracking of preventive maintenance service for 100% completion within due date
  • Maintain filing system at head office of customer records
  • Provide daily, weekly and monthly MI related to after sales service to management team
  • Conduct customer satisfaction survey every month / quarter
  • On- line maintenance and tracking of Annual Maintenance Contracts
Skills and Qualifications Required
  • Degree or diploma in business management, administration  or customer care
  • 3-5 years of experience in customer care
  • Good typing speed
  • Quick learner, so that if not technical by background, can pick it up
  • Excellent communicator
  • Confident and able to handle outside calls from customers
  • Proficient in English and Kiswahili
  • Go-getter that ensures any open / pending item is closed
  • Self-sufficient, able to deliver with minimal oversight
