Our client is a company that specializes in operating and managing selected luxuriously furnished and serviced contemporary Penthouses, top floor Duplexes, Townhouses and Cottages in Nairobi’s up market areas.

Their services including managing furnished home, furnishing on lease, letting, selling properties, and property management. 

They seek to hire a talented and dynamic Executive Assistant to the MD to ensure smooth and successful operation of the MD’s office and execution of related projects.
Job Purpose:- The incumbent will be responsible for the day to day operation of the Director’s office and entre office, support in running the Company’s business, liaison with suppliers, service providers and other stakeholders, supervising support staff and supporting the senior management in implementing activities aimed at achieving the company’s goal.

Job Responsibilities:-
  • Managing the Director’s diary and calendar of appointments
  • Composing and preparing correspondence that is sometimes confidential
  • Arranging travel plans, itineraries and compiling documents for travel-related meetings.
  • Plans, coordinates and ensures the Director's schedule is followed and respected.
  • Provides a balanced access to the Director, creating win-win situations for direct access to the Director’s time and office.
  • Communicates directly, and on behalf of the Director, with the staff, and others, on matters related to Director's initiatives.
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Director, including those of a sensitive or confidential nature and determines appropriate course of action, referral or response.
  •  Provides a bridge for smooth communication between the Director's office and internal departments.
  • Demonstrate leadership to maintain credibility, trust and support with senior management and staff.
  • Works closely and effectively with the Director to keep him/her well informed of upcoming commitments, take responsibility and follow up appropriately.
  • Understand issues taking place in the environment and keeping the Director updated.
  • Provides leadership to build relationships crucial to the success of the organization,
  • Manages a variety of special projects for the Director, some of which may have organizational impact.
  • Drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the Director's ability to effectively lead the company.
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follow through on projects to successful completion.
  • Maintains discretion and confidentiality in relationships with the Director’s office
Qualifications
  • Should have a minimum of Bachelor's degree or diploma in business related field.
  • Should have 3 to 4 years of experience supporting Senior Level Executives
  • Experience and interest in internal and external communications.
  • Must be proficient in Microsoft Office (Outlook, Word, Excel, and Power Point).
  • He/she should have strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  •  Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff and external partners
  • Good written and verbal communication skills
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability
  • Highly resourceful team-player, with the ability to operate independently
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment
  • Forward looking thinker, who actively seeks opportunities and proposes solutions
