Executive Assistant Job in Nairobi, Kenya

The Alliance for a Green Revolution in Africa (AGRA) is working with African governments, donors, NGOs, the private sector and African farmers to significantly and sustainably improve the productivity and incomes of resource poor farmers in Africa through agricultural development.

AGRA has its headquarters in Nairobi, Kenya, a regional office in Accra, Ghana and is opening several country-based offices.

AGRA is seeking to recruit an Executive Assistant, Policy & Advocacy Program who will be responsible for providing administrative and logistical support to the Program Director, Policy & Advocacy.

In this capacity, s/he must be a project professional, who consistently demonstrates the values of AGRA.

The Executive Assistant, Policy and Advocacy will report to the Program Director, Policy and Advocacy and will work closely with the Program, Administrative and Finance teams on all issues.

This position is nationally recruited and will be based in Nairobi, Kenya on a three (3) year renewable contract.

Specific responsibilities will include:
  • Managing the day-to-day operational and administrative activities of the Policy & Advocacy Program, maintaining the Program Director’s diary and following up to ensure timely responses;
  • Maintaining an in-depth knowledge of the Policy & Advocacy Program operations while managing correspondences in and out of the Director’s office;
  • Following up on actions required by the Policy & Advocacy Program, filing documents and maintaining the relevant files;
  • Managing records and information for ease of retrieval and use by the Program Director, Policy & Advocacy Program;
  • Working closely with the Travel Assistant while coordinating administrative and logistical arrangements for the Director and program visitors local and international travel and accommodation;
  • Planning, organising and documenting Policy and Advocacy Program meetings, workshops and conferences;
  • Preparing budgets and managing contracts for outsourced services for the Director’s Office; and
  • Undertaking special assignments e.g. events, receptions for the Program Director, Policy and Advocacy and other activities as assigned.

The ideal candidate must have
  • a minimum of a Bachelors degree in Business Administration, Secretarial Studies, Social Sciences or a related discipline;
  • formal secretarial and project management training is preferred;
  • at least five (5) years proven experience providing administrative and personal assistant services to senior level staff in an International Not for Profit Organization;
  • proficiency in the Microsoft Office suite and ability to learn new applications quickly;
  • strong planning and organizational skills and ability to work under pressure.
  • Additionally s/he should have excellent written and verbal communication skills and proven interpersonal and customer service skills; commitment to accuracy and attention to detail.
  • A working knowledge of French will be an added advantage.
