Our client,
a busy dental practice operating in Nairobi seeks an Office Administrator.
The ideal
candidate will perform a wide range of administrative office functions to
facilitate efficient service delivery.
- Managing the Front Office
- Receiving payments and banking
- Drafting, typing and replying to correspondence
- Opening record cards for patients, recording them in patients journal and computer
- Managing the accounts department i.e. prepare invoices, record drug entries and all expenses incurred, maintain all records and reference files of the unit
- Taking patients records, daily income and expenditure and reconciling with the doctor at the close of the day
- Controlling petty cash
- Delivery of invoices and statements, debt collection (cash/cheque), procurement (drugs, and other office supplies) and payment of bills (telephone, electricity etc.)
- Cleaning the main office and common areas as per duty rota
- Undertake any other duties as may be required by the doctors.
Professional Skills and Competencies
- A Diploma holder in a business related field e.g. Business Administration, Human Resource Management , Project Management
- Secretarial skills with typing speed of 50wpm is an added advantage
- Accounting experience with working knowledge of QuickBooks will be an added advantage
- 1-2 years of experience in a busy administrative position
- Excellent attention to detail
- Excellent communication and telephone skills (fluent spoken and written English)
- Honest and able to work with minimal supervision
- Ability to work under pressure
- Ability to make decisions without consulting on every aspect
- Good computer skills – efficiency in MS-Office (Outlook, Word, Excel, PowerPoint)
