Administrative Assistant Job in Kenya

Summary: The ideal candidate will have prior experience supporting senior management  or executive level teams in preferably property management in real estate industry

Must have good organization, strong planning and excellent communication skills(verbal and written) as well as interpersonal skills.   

Position Title: Administrative Assistant

Reports To: Property Manager

Key Responsibilities
  • Knowledge and experience in managing Hotel Management front office  system(Novacom) in regards to clients bookings and inquiries will be added advantage
  • Creating, modifying and managing all administration files in the office. Implement a proper, current and relevant record management system
  • Attend meetings/minutes taking as need be
  • Supplier procurement and correspondence on office suppliers. Working with team to make sure repairs and maintenance orders and deliveries are made on time
  • Stationary management and administration
  • Manage office physical space – layout, repairs & maintenance, key custodian of office keys
  • Report on performance by producing monthly administration reports
  • Handling of clients invoicing and billings
  • Responsible for receiving guests and offering excellent customer service
  • Respond to external inquiries and complaints
  • Manage the office administration mail
  • Handling of daily  telephone logs telephone calls i.e. directing to respective personnel
  • Any other duties as assigned by senior personnel

Knowledge & Experience Required
  • A Diploma in Secretarial studies or Business Administration from a reputable institution.
  • 3 years working experience in a busy front office position
  • Proactive, result-oriented team player
  • Good communication and interpersonal skills.
  • Good planning and organizing skills with attention to detail.
