Finance and Administration Officer Job in Kenya

WWF, the Global Conservation Organization, through its office in Kenya, is seeking to recruit key staff to work in the Mau Mara Serengeti (MMS) landscape.

The MMS Landscape is one of the four priority landscapes in WWF’s African Rift Lakes (ARL) Priority Place.

This trans-boundary landscape includes the world-famous Mara-Serengeti ecosystem and large parts of the Mau Forest Complex.

Landscape’s rich biodiversity also includes important populations of WWF flagship species such as the African Elephant and the Eastern Black Rhinoceros.

In order to address the increasing threats on this unique landscape, WWF has reinforced its long-standing support to this area by combining projects into one comprehensive landscape programme.

We therefore require the following staff to help manage this programme:

Position Title: Finance and Administration Officer

Supervised by: Mau Mara Serengeti (MaMaSe) Programme Manager

Supervises: None

Location: Kericho, Kenya

Mission of the Department: To ensure efficient and strong financial and operational components of the Kericho office are in place as a key component of effective delivery of the field operations of the MaMaSe sustainable Water Initiative.

Major Functions: Under the supervision of the MaMase Program Manager and technical support by Senior Programme Accountant, the Finance and Administration Officer will be responsible for financial support of Kericho office as well as overall partnership support.

Specific Duties:

Financial
  • Prepare regular cash flow statements for the Kericho coordination office to ensure that the project does not run into financial difficulties at any time.
  • Recording all funds transferred to the Kericho field office and recording them in relevant ledgers.
  • Carry out bank and petty cash reconciliations (as applicable) on a monthly basis for the Kericho office.
  • Management of Oracle and Cashbook to ensure that entries are done on a timely basis.
  • Recording, verifying suppliers’ invoices and processing payments to ensure that payments are only made against adequate supporting documentation.
  • Cheque writing and routing for signatories to authorize transactions.
  • Audit financial reports submitted by partners (both international and local partners) in their RA's (Result Areas) to ensure compliance and adherence to the approved budgets and work plans and confirm the authenticity of each transaction.
  • Prepare audit reports to act as basis for internal Audit by WWF's Internal Auditor.
  • Capacity building for MaMaSe partners in terms of WWF FOM (Field Operation Manual) and acceptable practices in the accounting field.
  • Fixed verification of all assets bought under the MaMaSe Programme.
  • Review of work plans and forecast for MaMaSe partners.
  • Review of contracts and provide supporting documentation to facilitate disbursements for each year’s activities.
  • Monitoring of MaMaSe Partners expenditures against the approved MaMaSe budgets for each year.
  • Support the procurement of equipment for MaMaSe partners to ensure compliance to the WWF and donor policies and procedures.

Administration
  • Assist the project coordinator in planning her agenda
  • Assist the project coordinator in organizing project events and meetings and taking minutes of such meetings.
  • Assist the project coordinator in receiving visits from the international partners.
  • Coordinates and facilitates the procurement requirements of the Kericho office on the basis of the procurement policy guidelines.
  • Ensure proper maintenance and regular updating of the project assets register.
  • Develop an easy and accessible project filing system.
  • Supervise the use of project assets e.g. vehicles and equipment. carrying out physical inventory count and asset verification when required;
  • Provides analysis of vehicle maintenance and fuel efficiency reports for project vehicle on a monthly basis
  • Develop and maintain staffs leave system.
  • Ensure proper office running i.e. supervise cleaning and utilities usage.

Required Qualifications and experiences
  • Bachelor of commerce in accounting or business related
  • Professional Accounting Certificate (C.P.A)
  • Master degree in finance will be an added advantage
  • Minimum 8 years of experience in F&A of which 4 years in the development sector with international donor organizations
  • Experience in administration (procurement, HR management, office operation and administration)
  • Excellent computer skills (windows environment and MS Office)

Supervisory control: N/A

Working Relationships:

Internal: Interacts frequently with all staff at WWF Kenya and WWF ESARPO hub. Works closely with the various WWF Kenya field offices

External: Liaises with suppliers, service providers, external auditors, external consultants and government bodies.
