Administration Assistant

Our client, a NGO firm seeks to recruit an Administrative Assistant Reliever. The temporary Administrative Assistant will be responsible for manning the reception and ensuring all phones and guests are directed as required.

Key Tasks and Responsibilities
  • Assume receptionist duties, greet public and refer them to appropriate staff members, attending phone calls and  replying to the emails received by the client
  • Retrieve documents from filing system
  • Resolve administrative problems and inquiries
  • Answering incoming calls and directing to the right office
  • Receiving guests and directing them to the right offices
  • Booking of boardrooms for 5th & Ground floors
  • Ensuring there is supply of stationery on the ground floor (Printing papers)
  • Booking of taxis within Nairobi region
  • Photocopying cheques before issuing them
  • Assist in printing documents
  • Assist in scanning of documents
  • Collecting newspapers from the main gate reception
  • Receiving procured items
  • Receiving and sending mail and parcels through FedEx

Professional Skills and Competencies
  • Diploma in Business Administration/secretarial.
  • Front Office / Receptionist experience
  • Basic computer skills including hands on-experience with MS Word, MS Power Point, and MS Excel
  • Proficiency in both written and spoken English and Kiswahili.
  • Self-motivated, proactive, requiring minimum supervision
  • Collaborative and flexible attitude
  • Excellent interpersonal and communication skills
  • Possess a high level of confidentiality
