Our client, a NGO firm seeks to recruit an Administrative Assistant
Reliever. The temporary Administrative Assistant will be responsible for
manning the reception and ensuring all phones and guests are directed as
required.
- Assume receptionist duties, greet public and refer them to appropriate staff members, attending phone calls and replying to the emails received by the client
- Retrieve documents from filing system
- Resolve administrative problems and inquiries
- Answering incoming calls and directing to the right office
- Receiving guests and directing them to the right offices
- Booking of boardrooms for 5th & Ground floors
- Ensuring there is supply of stationery on the ground floor (Printing papers)
- Booking of taxis within Nairobi region
- Photocopying cheques before issuing them
- Assist in printing documents
- Assist in scanning of documents
- Collecting newspapers from the main gate reception
- Receiving procured items
- Receiving and sending mail and parcels through FedEx
Professional
Skills and Competencies
- Diploma in Business Administration/secretarial.
- Front Office / Receptionist experience
- Basic computer skills including hands on-experience with MS Word, MS Power Point, and MS Excel
- Proficiency in both written and spoken English and Kiswahili.
- Self-motivated, proactive, requiring minimum supervision
- Collaborative and flexible attitude
- Excellent interpersonal and communication skills
- Possess a high level of confidentiality
