Switchboard Operator /
Receptionist
Job Summary:
Under the direction of the immediate supervisor, receives and transmits
telephone calls, greets visitors, responds to general enquiries, and completes
and distributes various documents related to these functions.
Maintains
office supplies.
Major Duties and Responsibilities:
- Operate telephone / switchboard service.
- Provide information and assistance regarding telephone numbers and completes certain types of calls.
- Enquire as to the nature of calls in order to refer to appropriate person or service.
- Answer internal or external calls (local and long distance) and transfer calls.
- As required, take and relay messages.
- Greet and direct visitors. Provides assistance to them as required.
- Maintain a register of room bookings, allocate rooms on request and completes any required forms.
- Maintain inventory of office supplies.
- Receive messages by fax, inform intended recipients or send messages by internal mail.
- Send messages by fax as required.
- Compile and update data related to area of activity.
- Correct and update electronic telephone directory.
- Types, photocopies, completes and distributes documents related to reception, telephone service or any other routine document.
- Use standard office equipment such as personal computer, typewriter, calculator, photocopier and fax machine.
Education and Experience:
- Diploma in Secretarial Studies or Front Office
- 1 year experience in a similar role
- Excellent written and spoken communication skills
- Ability to work in a fast paced environment
Salary: 20,000 - 30,000 per month
