global Hand in Hand international family, with independent operations within
the Eastern Africa region and headquartered in Nairobi.
HiH
EA intends to fill the following vacancies and invites applications from

1. Chief Financial Officer

Key
Responsibilities
The
CFO reports to the HiH EA CEO and will be responsible for the Finance and
Accounting function for all of HiH EA operations and mission.
Current
turnover of HiH EA is approximately KES 175 million.
The
selected individual will play the key role of ensuring sound financial
management practice and proper accounting for donor and other funds.
Duties
The
CFO will undertake the following duties:
- Manage and
oversee the overall financial management and accountancy for HiH EA
- Prepare and
manage the financial budgets, forecasts and cash flow for HiH EA
- Manage and
oversee all micro-lending activities, including the proper disbursement,
collection and recording of loans and fees and reporting on loan portfolio
and performance
- Coordinate and
oversee all audit activities, including project-specific audits as
required
- Maintain all
operational Bank Accounts for the organization
- Ensure payment
and timely remittance of all payroll, statutory and non-statutory
deductions
- Ensure full
compliance at the institutional level in matters of financial reporting
and accounting
- Maintain both
organizational-level and project-specific accounts
- Undertake
project accounting in respect of all HiH EA projects
- Report and
ensure conformance with donor conditions on funding and regular updates as
per respective donor requirements, including the preparation of
project-specific expenditure statements
- Serve as key
advisor to the CEO and the Board on all financial matters
- Prepare and
present regular financial and liquidity reports to the Board, both
organizational and project based as required
- Ensure full
implementation and utilization of the Management Information System (MIS),
including collecting and processing all program activities (including all lending
activity), integrating and analyzing data and generating reports on
performance
- Develop and
maintain appropriate systems of internal controls
- Advise and
collaborate with other departments on all financial matters, including
collaborating on funding proposals and preparing proposal budgets;
performing cost analysis of programs and projects, and providing strategic
financial guidance for input into medium and long-term organizational
planning
- Supervise and
manage the performance of all accounting, finance and MIS staff
Specifications
- Bachelor of
Commerce in Accounting, Finance or Business Administration
- CPA (K)
- 5 years of
relevant experience in a busy business environment, including strong
financial management experience
- Knowledge and
experience in Micro finance accounting
- Integrity and
willingness to commit to HiH EA’s mission and values
- Excellent
written and oral communication skills
- Strong
leadership and decision-making ability
- Strong
proficiency in Microsoft Office packages, especially Excel
- Strong proficiency
in QuickBooks
- Excellent
interpersonal and people management skills

2. Personal Assistant to the CEO

Responsibilities
The
Personal Assistant to the CEO will be responsible for support, organization and
general management of the CEO’s Office.
The
Personal Assistant will also be charged with the responsibility to communicate
and work with the staff, managers and the public on behalf of the CEO and act
as a key contact person for the CEOs office.
Duties
The
Personal Assistant to the CEO will undertake the following duties:
- Manage the CEO’s
diary and email account and ensure the calendar, appointments, meetings ,
travel and deadlines are well organized and maintained
- Ensure the CEO’s
office is equipped and maintained in a clean, neat and conducive state for
the facilitation of business including meetings, briefings and receiving
of visitors.
- Organize
briefings and meetings on behalf of the CEO and maintain records of the
meetings with staff, media and other stakeholders
- Arrange and
co-ordinate travel and accommodation requirements and ensure all the
necessary arrangements are in place for the CEO commitments and
itineraries
- Filter general
information, queries, telephone calls and invitations to the CEO by
redirecting or taking forward such contacts as appropriate
- Conduct weekly
diary meetings with the CEO to discuss upcoming engagements, invitations
and other requests
- Maintain smooth
communication between the CEO’s office and internal departments and to
demonstrate leadership in maintaining credibility, trust and support with
senior management staff
- Prioritize
conflicting needs, handle matters expeditiously, proactively, and
follow-through on projects and relevant assignments to successful
completion within deadlines.
- Draft, edit, and
ensure precision and delivery of reports, correspondence and
communications from the CEO’s office
- Maintain and
update key information and contacts regarding Donors, Board, Partners and
strategic relationships for the CEO’s office and the organization in
general
- Manage and
ensure the efficient filing, documentation, safe custody and retrieval of
the CEO’s records with due classification concerning confidentiality and
archival value
- Provide a
service that is in line with the CEO’s work habits and preferences
Specifications
- Bachelors degree
in Business Management or a related discipline
- 5 years
experience in a similar position within a busy service set up
- Excellent PR,
communication and interpersonal skills
- Proficiency in
use of Microsoft suite application packages
- Excellent
secretarial and office management skills
- Good time and
diary management skills
- Good
organization and analytical skills and ability to prioritize work
- Ability to work under
pressure and tolerance in handling diverse personalities

understanding of the CEO’s role in relation to other departments
3. Accounts Assistant

Responsibilities
The
Accounts Assistant will be responsible for the entry of data, verification of
financial and accounting information in the MIS and for compiling and
transmitting reports and analyses to management.

Accounts Assistant will also be charged with the responsibility to ensure that
all the primary financial and accounting transactions at their level comply
with organization procedures, policies and
guidelines.

- Input and verify
data in the Management Information System (MIS)
- Carry out
reconciliations and ensure accuracy and up-dating of bank, loan and
savings records
- Raise journal
vouchers to correct errors in the MIS
- Generate
accurate, useful and timely reports for information and decision making
- Maintain safe
custody and ensure proper access and retrieval of physical and
computerized files and records
- Maintain
accounting records within set standards
- Prepare relevant
vouchers as required and with all supporting documents
- Receive and
verify payment claims and supporting documents
- Ensure
compliance with organisation policies and procedures on all financial and
accounting transactions
- Maintain assets
and resources under their custody in good condition
Specifications
- CPA II holder
- 3 years
experience in a busy Accounting Department
- Proficiency in
the use of computerized accounting systems and Microsoft suite packages
- A self starter
working with minimal supervision
