IPA is a nonprofit organization in
Kenya that innovates on and evaluates approaches to solving development
problems, and disseminates information about what works and what does not to
policymakers, practitioners, social entrepreneurs and donors around the
world.
Description of Work: The Office Support Assistant will serve as a key member of
the Kenya Life Panel Survey team at the IPA Nairobi office.
He/she will be responsible for
functions associated with general project management including but not limited
to general office administration tasks, data entry, procurement, logistics and
human resources assistance.
Key responsibilities include:
- Complete general office tasks and ensure proper
functioning of project office;
- Take lead role in recording project activities;
- Ensure proper management and storage of project
documents and equipment;
- Assist in data entry related to project activities;
- Secure appointments for surveys by reaching out to
project respondents by phone;
- Assist project leaders in the procurement of goods
and/or documents, including sourcing quotations, purchasing office
supplies and verifying the delivery of goods;
- Receive vehicle requests from project leaders and
liaise with the logistics officer to ensure that vehicles are assigned to
projects as required;
- Assist project leaders in survey management by
compiling field officer activity records and cross-checking this
information with project records;
- When needed, travel in field with project team;
- Other functions as may be specified in the JD.
Note:
This position is office based, but
has the potential to grow into both an office and field based position if the
right candidate is available and interested.
Field activities would include but
are not limited to data collection and survey administration.
Qualifications:
Academic qualifications:
- University Degree or Diploma in Business / Office
Administration or any related social science.
Professional and technical skills:
- At least two years working experience in a national or
international NGO in an administrative capacity;
- Demonstrated ability in the Microsoft Office computer
packages;
- Strong organizational skills and attention to detail,
efficient and capable of handling detailed work assignments;
- Excellent writing and communications skills;
Other qualities and attributes:
- Positive and professional attitude; team player.
- Ability to work independently and make decisions
without close supervision; self-motivated person;
- Interest in research, more importantly
development-related research projects.
