Operations Manager

Our client seeks to recruit a suitable candidate to occupy the above vacant position.

Job Purpose
 
To provide leadership to the operations team in the depot and assist so that the business opportunities are optimized and volume, profitability and quality standards met.

Indicators of good performance of the job

  • Focused and realistic distributorship plans and operational budgets in place and communicated to management team and implementers.
  • Monthly and quarterly targets achieved and reported to the Directors and management team.
  • Maximum profitability, occupancy volumes and quality of service achieved.
  • Required standards are adhered to and customer service and security is in accordance with the company policies, procedures, EABL and BTDL requirements.
  • Service standards improvement and maintenance i.e. safety standards.
Key Duties
  • Participate in the strategic and business planning process and assist in overseeing implementation.
  • Drive the development and implementations of SOPs, brand standards and a code of ethics.
  • Set business performance standards in all operation areas, develop processes, monitor and ensure compliance and put in place remedial actions.
  • Generating a weekly report of the financial situation after updating the records and sending it by e-mail to the General Manager and Managing Director.
  • Maintaining the institutions liquidity levels and effective debt management.
  • Timely and accurate preparation and production of management accounts and periodic financial statements in conformity with generally accepted accounting principles, thereby fairly and accurately present the financial condition to support decision making for the management as well as advice the board and management on effective financial management.
  • Interpretation and implementation of sound accounting systems and controls.
  • Notifying the General Manager and Managing Director of any irregularities.
  • Interpretation and implementation of financial policies and budget controls.
  • Participate in internal audits as scheduled and in external audits by providing auditors with accounting documents as requested and providing explanations for audit queries.
  • Advising on improvement and implementing of the same on the financial records of the Company.
  • To co-ordinate debt collection and guide the other staff on debt collection.
Knowledge/Skills/Experience
  • A Bachelor’s Degree in Commerce - Accounting or Finance Option
  • CPA(K)
  • At least 5 years working experience 2 of which must be in senior management.
  • Sound knowledge stock taking and cash handling
  • Hands on knowledge and experience of using accounting systems is desirable
Competencies
  • Extensive knowledge of generally accepted standard accounting principles, established procedures, departmental guidelines, and regulatory requirements applicable to the work.
  • Extensive knowledge of the application of statistical concepts and methods as applied to the analyses of accounting, finance management, and revenue projecting.
  • Current knowledge of industry, regulatory and legislative developments affecting accounting and financial reporting functions to ensure application to areas of responsibility.
  • Skill in researching, compiling, and summarizing statistical data and information.
  • Ability to understand and follow pre-established policies, procedures and regulatory requirements applicable to the work.
  • Ability to perform routine mathematical computations and tabulations accurately and efficiently.
  • Ability to read, update and maintain various records and files.
  • Ability to access, operate and maintain various software applications.
  • Ability to operate basic office equipment, e.g., computer terminals, printers, copy machines, telephone systems, facsimile machines.
  • Ability to establish and maintain effective working relationship with other employees.
  • Ability to understand, follow and confer written and oral instructions.
  • Ability to effectively supervise a staff comprised of entry and advanced level professionals engaged in carrying out departmental functions.
