Assistant Head of Procurement 
Our client, a leading professional cleaning and allied service Company is seeking to recruit a focused, self driven professional with high integrity to fill the position of Assistant Head of Procurement This role will report directly to the Head of Procurement.

Job Purpose/Summary

The Assistant Head of Procurement will be responsible for the volume purchasing of supplies, materials and equipment.

The job holder will provide assistance for the procurement of materials and services required by user departments, including preparation of quotations, tenders and proposals in accordance with the company policy.

Duties and Responsibilities

  • Ensure competent quality execution of all regular purchasing duties and administrative works such as purchase orders, goods received/ returned notes, delivery notes and invoices
  • Coordinate with user departments and suppliers for products and substitutes in accordance to approved specifications and quality
  • Source, select and negotiate for the best purchase package in terms of quality, price, terms, deliveries and services with suppliers and sub-contractors assigned
  • Work closely with the receiving department to track orders and ensure that all items ordered are delivered and keep accurate records of partial deliveries to ensure all quantities and products are delivered
  • Ensuring competitive bidding procedures and administration of contracts and negotiations are effectively performed
  • Monitor contract management by user departments to ensure implementation of contracts as per the terms and conditions of contract
  • Initiate and keep track of orders; receiving , inspecting and distributing orders
  • Filling out damage claims and return orders
  • Liaise with the accounts payable to pay vendors
  • Ensuring efficiency in inventory management
  • Preparing and maintain all procurement records
Minimum Requirements
  • A Bachelors degree in a business related field from a recognized institution
  • Minimum of a diploma in purchasing and supplies management from a recognized institution
  • Professional certification(CIPS) and a member of a professional body(KISM)
  • A minimum of 2 to 3 years in a busy procurement environment

  • Strong planning & organizing skills
  • Excellent communication skills
  • Ability to work as a team player
  • Strong administrative and clerical skills; recordkeeping and bookkeeping
  • Ability to create and maintain relationships with vendors
  • Having some exposure in the cleaning industry is an added advantage
