The KEC- Catholic Secretariat is the National Administrative, facilitative and Coordinative arm through which the KEC implements and co-ordinates various Pastoral programs at the National level and undertakes all those responsibilities which express the mission of the Catholic Church in Kenya.

The Organization is seeking an outstanding, dynamic and results oriented individuals to fill the following position: 

Accountant

Purpose of the Post

Accountant

Duties and Responsibilities
  • To plan, organize and implement accounting operations and objectives; coordinates and integrates all activities toward achievement of established goals and objectives
  • To ensure all functions and programs under charge are performed within established budgetary parameters, to include performing cost control activities, monitoring revenues and expenditures, and ensuring sound fiscal control;
  • To prepare fiscal documentation regarding accounting activities, e.g., weekly, monthly and annual reports
  • Maintain and reconcile balance sheet accounts for all funds
  • To plan, manage, coordinate, and implement the year end closing processes and procedures for the assigned accounting records; conducts year-end closing process; provides information to financial auditors; conducts standard internal audits of various accounting records;
  • To ensure adherence to generally accepted accounting standards and principles; ensures maintenance of proper audit trails and verification and reconciliation actions for all processed work
  • To evaluate receipts, expenditure forms, purchase orders, distributions, and disbursement orders for the purpose of ensuring compliance with policies
  • To perform verification and reconciliation tasks for invoices/ receipts/ balances according to department checks and balances procedures
  • Ensure proper set up and running of accounting systems
  • Compilation and combination of financial reports
  • Preparation of the audit file
  • Plans and directs the activities of accounts assistants engaged in the maintenance of a variety of accounting records and controls applicable to all financial transactions of the KEC-Catholic Secretariat.
Qualifications
  • Has a Bachelor of Commerce Degree Accounting option or its equivalent.
  • Has a minimum of CPA K  professional qualification;
  • Excellent MS Excel and Ms Word

Internal Auditor

Purpose of the Post

To evaluates all KEC internal controls, processes, policies and mechanisms to ensure that they are adequate, effective and in compliance with regulatory principles, industry standards and corporate guidelines. 

The holder of this position is expected to effectively manage the Kenya Episcopal Conference’s Internal Audit, Risk and Compliance function to all areas of Kenya Episcopal Conference’s operations, in a manner that will accomplish the Kenya Episcopal Conference’s objectives

Reporting Line

Reporting to the Secretary General.

Duties
  • Determine the adequacy and effectiveness of the systems of internal accounting and operating controls, governance and risk management processes within the Kenya Episcopal Conference.
  • Review the reliability and integrity of financial information and the means used to identify, measure, classify and report such information
  • Review the means of safeguarding assets and, as appropriate, verify the existence of such assets
  • Assist in the implementation of recommendations from external audit and Keeps the Finance Commission Committee and Secretary General informed of the results of the audit and risk associated with Kenya Episcopal Conference activities and services.
  • Evaluate any plans or actions taken to correct reported conditions for satisfactory disposition of audit findings
  • Establish quarterly audit plan and audit programs.
  • Follow-up on audit findings for the organization and Institutions for implementation of recommendations and make sure that adequate corrective action is taken and that it is effective.
  • Takes responsibility for coordinating external audit processes to completion.
  • Advises Senior Management on new developments that affect control and provides solution in a proactive manner
  • Perform other duties as assigned, including, but not limited to, Participate in the systems to determine whether a. Adequate controls are incorporated in the systems; b. Thorough system testing is performed at appropriate stages; c. System documentation is complete and accurate
Qualifications
  • A Bachelor of Commerce degree in Accounting/Finance or a business related degree; An MBA degree would be of advantage.
  • CPA Finalist, ACCA or equivalent. CIA, CISA qualification and/or membership to a professional body will be an added advantage.
  • Excellent interpersonal, oral and written communication skills.
  • Must demonstrate high level of initiative, honesty, dynamic strategic thinking and Collaborative approach to governance.
  • At least three years’ experience in auditing in a busy organization.
  • A person of attested integrity.
  • Computer literacy in Pastel Software, Word, Excel, Power Point.

Property Administrator

Purpose of the Post

To The position exists to oversee KEC property management. It will provide strategic property management and property development for KEC enhance their management as well creating and maintaining accurate financial records of all KEC properties.

Reporting Line

Reporting to the Finance Administrator.

Duties
  • Preparing and maintaining the books and records of properties ;
  • Accounting for investments in real property and record of investment acquisitions of real property;
  • Assist in reviewing annual property reconciliation ;
  • Accounting for property taxes and filing of tax returns;
  • Preparation for annual audit of property accounts and follow-up of management reports;
  • Preparation of monthly statements to tenants and follow-up on collections updates ;
  • Produce monthly tenant rent billing, account statements, monthly management accounts and monthly properties status reports;
  • Reconcile   cash, prepaid rent, security deposits, and amortization/depreciation schedules ;
  • General management of properties, including general maintenance;
  • Work closely with property managers on budget preparation and expense tracking;
  • Work closely with property managers to complete financial reports in a time frame specified by the management agreement;
  • Prepare budget for property management
Qualifications
  • B.S.C in land Economics.
  • At least four years’ experience in property administration, coupled with at least three years accounting experience.
  • C.P.A Finalist or equivalent.
  • Strong written and verbal communication skills. Ability to communicate and interact at all levels of the organization.
  • Proven problem solver with the ability to work in a diverse team environment.
  • Flexible, professional with the ability to manage multiple responsibilities with changing priorities.
  • Excellent MS Excel and MS Word skills

Water and Sanitation Engineer

Overall Job Purpose

The Water and Sanitation Engineer is responsible for the implementation and management of Caritas Kenya public health programme, designing the response, coordinating policy, ensuring best practice and a commitment to Caritas Internationalis’ principles and values.

Reporting to: Caritas Kenya Director

Specific objectives:
  • To carry out the selection, design and construction of water systems, using ground water or surface water, including abstraction, storage, treatment and distribution for new systems or rehabilitation of existing systems.
  • To select, design and implement the most appropriate form of sanitation system, in consultation with the beneficiaries, which includes excreta disposal, refuse disposal, vector control and drainage.
  • The work will include management and administrative duties and co-ordination with other members of the project and with staff of other organisations
  • To report regularly, verbally and in writing to the Programme Coordinator/Director of Caritas
  • To represent Caritas to other NGO’s, agencies and Government authorities where requested.
  • To order equipment as required. Occasionally to organise local purchasing and to keep accounts.
  • To train and brief Caritas staff and partners on public health engineering issues as needed
  • To brief press, media, other agency staff as agreed with the Director/Programme Coordinator and CI Secretariat.
  • To ensure that all programmes take gender issues fully into account. This includes the introduction of mechanisms to enable women to participate in decision making around public health engineering issues.
Profile
  • A suitable qualification in any discipline relating to Public Health Engineering.
  • Practical experience in developing countries in appropriate water supplies, sanitation and hygiene promotion. It is desirable that some of this should have been in emergency relief programmes. The post holder should have a good understanding of the public health needs of poor rural and urban communities and of appropriate ways of tackling them. The post holder must be aware of and sensitive to the particular needs of women in this context.
  • Concise report writing skills
  • Diplomacy, tact and administrative skills in order to work with people at managerial and, on occasions, senior government levels.
  • Well-developed interpersonal and team skills and proven ability to be flexible in demanding situations.
  • Good written and spoken English is essential.

Food Security Officer

Overall Job Purpose


The Food Security Officer is responsible for the implementation and management of all Caritas Kenya food security programmes, coordinating policy and ensuring best practice and a commitment of Caritas Internationalis’ principles and values.

Reporting to: Caritas Kenya Director

Specific objectives:
  • Assess the impact of particular threats or shocks on food security of urban and rural communities this should include:
  1. Food Availability
  2. Access to food
  • Identify appropriate interventions in terms of food aid and other food security interventions.
  • Where necessary include the implementation of programmes and setting up monitoring systems for the programmes.
  • Identify other agencies already responding in the field of food aid and food security, and whether there are any gaps either in terms of coverage or types of interventions needed.
  • Assess the capacity of Caritas/partners to intervene if there are any gaps.
  • Produce or contribute to reports as needed
  • To represent Caritas in sectoral meetings on food security
Profile
  • A BSc/MSc or equivalent in Nutrition, agriculture or agricultural economics, agronomy or related degree.
  • Emergency Experience essential, development background preferable /ideally with an NGO.
  • Nutrition Survey/Feeding centre/CTC experience.
  • Proven application of relevant competencies at field level (preferably in an Emergency context).
  • Understanding of development/relief issues.
  • Cultural and gender sensitivity.
  • Assessment, analytical and planning skills.
  • Good oral and written reporting skills.
  • Diplomacy, tact and negotiating skills.
