Our client, a Security firm with its Head Office in Nairobi, is looking for a personal Assistant to support the Director’s functions.
We are particularly
looking for someone with mature personality with outstanding skills in day to
day functions of running a busy office.
The candidate should be flexible to travel occasionally in line of duty.

Key Responsibilities
- Arrange
travel and accommodation and, occasionally, travelling with the
director to take notes or dictation at meetings or to provide general
assistance during presentations
- Screen
telephone calls, enquiries and requests, and handle them when appropriate
- Organize
and maintain director’s diaries and making appointments
- Deal
with incoming emails, faxes and post and often corresponding on behalf of
the director
- Taking
dictation and minutes
- Carry
out background research and present findings
- Organize
and attend meetings and ensure the director is well-prepared for the
meetings
- Meet
and greet visitors at all levels of seniority
- writing
reports, executive summaries and newsletters
- Maintain
scheduling and event calendars.
- Prepare
reports, presentations, memorandums, proposals/Tenders and correspondence
- Strongly
support external and Internal communication activities within the
allocated parameters of responsibility
Qualifications
- At
least a degree or a diploma in Business Administration or any other
related field.
- A
minimum of 5-7 years of experience in similar role
- Outstanding
Administrative skills
- Excellent
verbal and written communication skills.
- Organizational
and time-management skills with ability to be calm under pressure
- Flexibility
and ability to think logically and make quick decisions
