The East West Central Africa Regional Development Centre (EWCARDC) is one of six regional centres working to build and strengthen older people’s organisations around the world which provide a wide range of services related to social protection, sustaining a livelihood in old age, HIV and AIDS, discrimination & abuse, health and emergencies.

Job Description
 
Job Title: Communications Assistant
 
Contract: Initially 6 months with possible extension

The role
 
The main purpose of the role will be to assist in the advocacy and communication department in the planning, preparation and execution of communications products and activities that reinforce HelpAge’s organizational position and promote its vision and mission in Africa.

This will include providing support in the production of publications and IEC materials, maintenance of the HelpAge website and intranet and support to the coordination of HelpAge’s flagship campaign Age Demands Action (ADA).
 
ADA is a grassroots global campaign which takes place on the UN International Day of Older Persons on October 1st and other important days such as World Elder Abuse Day and World AIDS Day and involves older people across the world lobbying decision makers for their rights to be recognised.

In the past, delegations who met with government have received firm commitments of increased pensions, improved healthcare and better access to basic needs such as food, water and credit.

Core to this support role will be the promotion of the Hilton Humanitarian Prize which
 
HelpAge was awarded in 2012 in recognition of being the only global organization with a singular focus on providing assistance to and advocating for disadvantaged older people.
 
Responsibilities
 
Responsibilities will include supporting the implementation of the regional communications strategy through:
 
Operational support
  • Support in the collation and editing of articles as well as coordinating the production of HelpAge’s quarterly Ageing in Africa newsletter.
  • Regular writing, editorial and content management work on HelpAge’s website Africa and pages, provision of news stories and facilitating real time reporting on key events such as ADA, updating Face book and other social media
  • Supporting the implementation of the regional publishing plan motivating and coordinating input from country offices and network members
  • Support in the production and dissemination of publications in dealing with printers, translators, editors
  • Support to media engagement and activities, including regular and monitoring review of African new stories concerning HelpAge’s core themes
  • Regular updating of EWCA intranet pages
  • Coordination of organisational contacts database
  • Manage the organizational information email account info@helpage.co.ke
  • Collation and monitoring of annual organizational communication impact indicators
Support to Programmes
  • Work with programme managers to support the extraction of quality impact information, case studies, testimonies and other programme materials, for organisational communication purposes (including regular publications, website and intranet).
  • Support in editing, coordination of translations and production of project specific publications.
  • Support in the coordination of communicational aspects of core events and workshops organised as part of the programmes
  • Support the regional communications officer in building communication capacity with affiliate and partner organisations
  • Ensure fair representativeness and visibility of HelpAge’s donors on all publications and other communications products, in particular the promotion of the Hilton Prize.
ADA campaign
  • Assist in the planning and coordination of ADA in-country actions in Africa
  • Respond promptly to questions and requests from delegation organisers and RDC team.
  • Gather regular updates from participating countries on their activities and distribute regular updates to participants and HelpAge staff
  • Monitor and evaluate all campaign activities, contributing to proposals and reports for grant funders, donors and for organisational learning
  • Draft an ADA narrative report for the Africa region
  • Assist in the development and distribution of campaign marketing materials like videos, banners, T-shirts ensuring greater visibility of HelpAge and the Hilton prize in particular.
  • Tailor global campaign toolkits for partners in the region and assist them in using it
  • Assist with budget monitoring and distribution of funds to third parties in the region
  • Ensure that visibility of HelpAge receiving the Hilton Humanitarian Prize is raised through the on-going campaigns.
Other
  • Coordinate activities showcasing the Hilton prize in the Africa region
  • Conduct online research to gather intelligence data as needed

Person specification
 
Essential
  • Degree in communication/marketing or related subject
  • At least two years of experience of communications within development organisations
  • Excellent English writing and editorial skills
  • Strong attention to detail and exceptional organisational skills are a must
  • Strong social media and online skills; able to write and upload campaign information on our website, Twitter, Face book, YouTube and Flickr
  • Ability to use Photoshop, Illustrator and Windows Movie Maker or Adobe Premiere Pro.
  • Proficiency in Word, Excel and familiarity with Outlook
  • Ability to communicate with various stakeholders on a global level
  • Able to multitask and meet critical deadlines
  • Exceptional interpersonal skills
  • Comfortable working with older persons and ability to work in a multicultural environment.


Job Title: Accountant – Grants and Contracts
 
Department: Finance & Administration
 
Location: Nairobi, Kenya
 
Responsible To: Regional Finance Director
 
Relations with Others: Close working relationship with Project Managers, and finance staff of affiliates and partners
 
Purpose: Responsible for budgeting, financial accounting and reporting of assigned grants and donor projects in the EWCARDC and providing financial support and training to affiliates and implementing partners
 
Responsibilities:
 
1.1 Grant and Contract Management
  • Prepare and submit to Regional Finance Director interim and final donor financial reports for review at least one week before the due date
  • Prepare and circulate monthly donor and HtA monitoring (expense vs budget) report to programme managers by 22nd day of the month for assigned project codes
  • Promptly follow-up and make adjustments to monthly and interim donor reports based on feedback from the program managers.
  • Review monthly donor reports with the relevant managers and point out areas with financial risks in line with donor conditions for the managers to take proactive corrective action.
  • Assist project managers with budget re-alignment and other budgetary issues
  • Ensure expenses are charged to correct project and budget lines
  • Receive, review and correct monthly returns from implementing partners for assigned projects and prepare for submission to UK office by 7th day of each month
  • To assist in getting monthly cash flow requirements from implementing partners and project managers and forwarding this to the Accountant - Secretariat for consolidation and forwarding to UK Secretariat.
  • Keeping a file for each project and filing all returns and other correspondence on file and ensuring security and confidentiality of the documents in line with HelpAge policy on document retention, retrieval and archiving.
  • Periodically visit partners, Lodwar office and review their financial and administrative policies and procedures, identify shortcomings and train partners in such areas.
  • Implement financial and administrative policies as laid down in the Finance and Administration Manuals in use.
1.2 Budgeting
  • Train and assist project managers in proposal budget preparation for various donors
  • Train and assist project managers in budget re-aligmnet and review
  • Train and assist project managers in budget phasing and preparation of Detailed Budget Sheet for SUN system.
  • Assist in the preparation of the EWCARDC annual and mid-year financial review (MYFR) budgets
1.3 Others
  • Assist Accountant – Secretariat on demand or in his/her absence
Other Features of the Job (Working conditions etc)
 
The position is based in Nairobi but with constant travels to the field (Northern Kenya) to assist partners with training and other donor compliance issues.
 
Respond to any emergency issue affecting partners and Country Offices at short notice
 
Person Specification:
 
Essential:
  • Good working knowledge of computer packages preferably SUN systems, word processing, spreadsheets, power point and database packages.
  • Ability to work independently and make good routine decisions.
  • Excellent command of English and Kiswahili both written and oral
  • Able to travel at short notice
  • Exposure to and familiarity with the region’s work environment
Experience:
  • Minimum of 3 years experience in an NGO multi-cultural setting
