Position:Administrative Assistant

For the last eight years AMREF Kenya through the Dagoretti Child in Need Project dedicated itself to addressing the needs of children in vulnerable circumstances with a population of up to 34,000 children. 

The project seeks to empower the community to deal with the challenges of Children in Need through the implementation of a community based rehabilitation initiatives that will strengthen the capacity of the community to improve the general living conditions and health standards of Orphans and Vulnerable Children.

The Project is looking for individuals, who are well organized, highly motivated and results oriented to join a dynamic team and help bring lasting health change in Africa.  

The positions reports to the Project Manager and are based in Dagoretti, Nairobi.
 
Purpose of the Job:

To provide administration and logistics support through effective co-ordination, planning and monitoring of project activities.
 
Key Responsibilities:
  • Administrative support and information flow: In charge of receiving and dispatching correspondence (including letters, faxes, email, telephone calls).
  • Communication and correspondence support: Receives and reviews correspondence, provides the relevant case history, and prepares routine responses.
  • Planning: Co-ordinates the project’s calendar of events with the relevant offices both internal and external. This includes annual planning, ad hoc planning of activities and project work-plan.
  • Organizing: Manages the execution of events including meetings, workshops and other work-related gatherings.
  • Reporting: In charge of processing and distribution of a variety of reports including minutes of various meetings, project monthly, quarterly and annual reports.
  • Information Management: Develop and maintain relevant databases and filing systems for optimal management of information and contacts.
  • Responsible for and custodian of all project assets, and maintains an up-dated inventory at all times.
Qualifications and Competencies:
  • The ideal candidate should have a Diploma in Business Management or its equivalent; a first degree is desirable.  
  • Minimum of three (3) years work experience in busy environment; experience in the NGO health sector would be an added advantage.  
  • Must be ICT proficient.  
  • In addition, the candidate should have excellent interpersonal skills, excellent written and oral communication skills, ability to prioritize duties and work under minimal supervision.

Position: Monitoring and Evaluation Assistant

Purpose of the Job:

Assist in providing M&E technical expertise to the M&E Unit by ensuring effective coordination, planning, reporting and communication at the country and/or programmes and projects.
 
Key Responsibilities:
  • Participate in strengthening existing M&E systems in the projects, programmes and AMREF Kenya Country Office.
  • Assist Projects in data capturing, reporting and QA/QC using monitoring tools to track project indicators.
  • Support in coordinating execution of events in the department including consultancy work, meetings and workshops.
  • Support to ensure effective management of office operational procedures, logistics maintenance of asset inventory, stationery and supply requisition.
  • Assist in preparing monthly, quarterly and annual programmatic performance reports.
  • Assist in developing summary report on key issues emerging from projects monthly reports, evaluation reports, feedback reports and project visit reports.
  • Support in developing and maintaining databases and filing systems for all projects, consultancies, collaborators, contracts, and MOUs.
  • Maintain AMREF Kenya programme information resources, publications and materials for effective use by the programme staff and stakeholders.
  • Support in compiling relevant technical reports related to AMREF programmes/projects and store them in convenient form e.g. CD ROM for quick and easy reference.
Qualifications and Competencies:
  • The ideal candidate should have a first degree in Statistics, Social Sciences, Public Health or its equivalent.  
  • Professional training in M&E and at least three (3) years of relevant work experience.  
  • Must have hands on experience in statistical analysis packages - STATA; SPSS, Epi info. 
  • Excellent quantitative and qualitative methodologies.  
  • In addition the ideal candidate must have strong problem solving and networking skills.  
  • Must be honest, a team player, good communicator and able to work under minimal supervision.
