Receptionist
Basic Function:
The Receptionist is the initial company contact with customers via telephone conversations or face to face.
The incumbent will be responsible for providing administrative support to ensure that organizational services are provided in an effective and efficient manner.
Principal Accountabilities:
- Maintain
the telephone switchboard and direct telephone calls to the desired staff
- Maintain
a record of incoming and outgoing calls
- Receive
customers visiting the organization and direct them to the relevant
officers
- Ensure
that all the queries of customers or clients at the front desk are
responded to
- Inform
visitors about past and present projects
- Handle
various types of people who visit the organization and ensure timely and
efficient problem solving
- Ensure
quick and clear interaction with visitors
- Ensure
knowledge of staff movements in and out of organization
- Coordinate
communication flow between staff members and within the departments
- Attend
to any other duty
Qualifications, Experience and knowledge:
- Diploma
in Customer Service or Business studies
- At
least 3 years’ experience in a similar function
- Good
knowledge of office administration in a busy office
- Good
MS Office skills
- Excellent
communication skills
Competencies:
- Ability
to adapt interpersonal style to suit different people or situations
- Strong
interpersonal skills, ability to communicate and manage well at all levels
of the organization
- Charismatic,
well dressed and presentable
- Good
planning and organisational skills
- Ability
to work calmly under pressure
