Administration Team Leader Job Vacancy (KShs 180 – 250K)

Position Required:  Administration Team Leader
Location: Nairobi
Key Responsibilities:
1. Financial
·         Responsible for preparation of annual budget for admin team and ensure adherence
·         Management of Company utilities within budget and reporting of variances whilst  looking for innovative ways to minimize expenses

·         Ensure dividends are paid out to shareholders as per laid out procedure
2. Customer
·         Liaise closely with other departments to understand their admin needs and provide appropriate solutions
·         Liaise with tenants and ensure that the facilities provided are in good working condition and are satisfied with the services rendered
3.  Processes
1/ Company Secretarial  & legal compliance
·         Meetings coordination and filing of minutes
·         Preparation of board resolutions
·         Maintenance of statutory books( Register of members, register of transfers, Register of director & Secretary, Register of debenture holders, debentures, mortgages and charges, Minute book, share transfer deeds and share certificate books)
·         Preparation of notices and agenda for general meetings
·         Registration of ordinary and special resolutions
2/ Insurance Management
·         Responsible for  general insurance correspondence
·         Coordination of annual risk surveys with the insurance provider to ensure that risk areas are identified and appropriate insurance covers taken
·         Conduct regular market surveys and negotiate with insurance providers for competitive market insurance rates
·         General  management  of insurance policies, issuance of KG number plates and COMESA yellow cards
3/ Management of outsourced services
·         Closely liaising with supplier to ensure service level agreement terms are met and company is getting value for money for services rendered
·         Liaising with the Insurance providers, reporting accidents and incidences as well as following up on claims
4/ Licences & Land Taxes
·         Ensuring that all licences ( Trade licences, advertising licenses , vehicle branding license  and OSHA)  and land rates are fully paid for on time to the relevant government bodies
5/ General management of the archives
·         Ensure that archived documents are safe and  easy to retrieve when required
6/ Supplier Management
·         Vetting suppliers and closely monitoring services rendered and goods provided as well as regularly reviewing supplier list to ensure that the company gets value for money.
7/ Administration
·         Disposal of company assets as per the laid down guidelines
·         Management of the switchboard to ensure it is professionally manned in line “THE CLIENT” way
·         Responsible for ensuring that company utility bills are paid in a timely manner and that staff entitled to cell phone allowances receive airtime in a timely manner as per company policy
·         Custodian of Company seal,  agreements/contracts, title deeds, company spare keys, vehicle log books and staff security  documents for loans guaranteed by the company
8/ Premises Management
·         Maintenance of  company premises and ensure that repairs are done in a timely and professional manner
·         Management of “THE CLIENT” Kenya Foundation houses;  closely liaise with agent to ensure that rents paid are market rates and tenants pay as per lease  agreements
4. People
·         Motivate and provide leadership to admin team
Key Qualifications:
·         Degree in  a Business related discipline
·         Certified Public Secretary – CPS(K)
·         Knowledge of procurement  – (C.I.P.S)
·         At least five years management experience in  a commercial business setting
·         Excellent communication & Interpersonal Skills
·         Good analytical and negotiating skills
Salary & Benefits: 180,000/- 250,000/-
