The globally networked International Livestock Research Institute (ILRI) helps to reduce poverty, hunger and environmental degradation by enhancing animal agriculture in developing countries. ILRI’s headquarters are in Nairobi, Kenya, with a second principal campus in Addis Ababa, Ethiopia. The Position
ILRI seeks to recruit an Accountant-Staff Accounts.
Responsibilities
1. Staff Accounts
* Ensure that there is strict monitoring of old and new staff accounts and send monthly reminders to staff whose balances on travel advances/imprest/expenses are not accounted for;
* With authorization from the General Accounts Manager, submit a list to payroll for staff deductions where balances are not settled on time;
* Prepare a monthly analysis of the staff accounts based on the expense categories and prepare an age analysis report;
* Open and close staff bank accounts and periodically verify their status with Human Resources;
* Verify all payment requests by staff to ascertain the availability of funds in their staff accounts;
* Ensure that staff loans, medical expenses and any other staff deductions are done on time and other personal expenses arising from recharges are submitted to payroll in time for deduction.
2. Mission Travel
* Daily process staff Mission Travel Advances and Field Imprests in accordance with the ILRI Travel Policy guidelines;
* Process on a timely basis all travel expense reports by ensuring they are expensed correctly to the appropriate expense codes, cost centre and grant code;
* Ensure staff/travelers are given copies of the final calculations of their travel expense claims being posted to their personal account;
* Daily communicate with staff, advising the status of their personal accounts and address staff questions.
3. Third-Party Invoicing
* Receive information from service units/service provider and prepare the invoice for the General Accounts Manager’s approval;
* Post all invoices to the receivable account and assist the service unit managers to dispatch the invoices and follow up payments by the organization.
4. CIP and ISAAA Hosted Institutions’ Accounts
* Monthly review of CIP and ISAAA accounts and send statements to budget holders;
* Monthly invoice and allocate payments made into the two accounts.
5. Recharges
* Review and update income from the following Service Units
o Catering
o Engineering
o Housing – Rent, Amenities, Laundry, Hostel, Uniforms
o Telephone and teleconferencing (official & private)
o Conferencing – rooms and conference items
* Monthly receive, review and sample support documents for the recharges – check amounts, cost centers/grant codes charged;
* Monthly prepare and import journals of the recharges into the SUN system.
Requirements
* Bachelor’s degree in Business or Accounting;
* Certified Public Accountant (Kenya);
* 3 years’ experience in accounting;
* Experience in payroll processing is an added advantage;
* Good knowledge and understanding of local labour laws;
* Work experience, at least in part, in a non-profit or international organization;
* Knowledge of computerized accounting software required.
Terms of appointment
This is a Nationally Recruited Staff (NRS) position based at ILRI’s Nairobi campus and is open to Kenyan nationals only. The position is on a 2-year renewable contract subject to satisfactory performance and availability of funding.
Job level and salary
This position is job Grade 2C, Level 1 with a starting gross salary of KES 105,000 per month. This is exclusive of other benefits provided within ILRI’s Nationally Recruited Staff Scheme.
