Procurement Assistant Job: Lutheran World Federation/Department for World Service Kenya Programme

Lutheran World Federation/Department for World Service Kenya Programme is seeking to recruit a Kenyan national for the following position, to be based in Kakuma Refugee Camp.
Procurement Assistant

The Procurement Assistant will be based in Kakuma and shall be responsible for local procurement in Kakuma and coordination all procurement activities in the procurement unit.

He/she will work to improve the proper operations, management and improvement of the local procurement in Kakuma and advising Nairobi LWF of the Kakuma procurement requirements.

The incumbent will report directly to the Logistics Officer, while working closely on a daily basis in collaboration with other sectors of LWF.
Duties and Responsibilities

  • Responsible for procurement of quality items from the most cost effective and convenient source to the project.
  • Issuing Local Purchase Orders and Contracts to suppliers in accordance with prescribed guidelines and making follow-up on deliveries.
  • To update and maintain the Most Frequently Purchased Items (MFPI) by Kakuma Projects indicating the price guides.
  • To Revise the MFPI list on a quarterly basis.
  • To solicit quotations from Pre-qualified Suppliers.
  • To issue tenders, and to draft contracts.
  • To maintain all records pertaining to Procurement in a systematic filing system.
  • To make regular follow up of orders and delivery documents.
  • To arrange samples, inspections and tests for quality certification of materials procured.
  • To prepare monthly status and tracking reports on all requisitions under process.
  • To track requisitions and Purchase Orders by Operation Number.
  • Provide any procurement information as may be required by the Logistics Officer and or the management.
  • Liaise with the accountant to ensure that supplier invoices are paid on time.
  • Ensure the goods supplied to LWF are as ordered and that the Store’s have signed the GRN’s as required by the prescribed guidelines.
  • Undertake any other duties assigned by his/her supervisor
Person Specifications/Qualifications
  • Have a mean grade of C+ in KCSE.
  • Diploma or Degree in procurement/ Purchasing and Supplies Management preferably from CIPS
  • Over 2 years experience in procurement preferably in an NGO set up.
  • Excellent record keeping and maintenance of an efficient filing system;
  • High degree of flexibility and tolerance.
  • Strong interpersonal and communication skills.
  • Proficiency in computer programs required, preferably MS-Office.
