Job Description

For Information Communication and Technology (ICT) Officer

a) IT responsibilities

  • Manage network and server
  • Ensuring data is backed up on a regular basis
  • Overseeing computer security and anti-virus updates etc.
  • Carrying out computer "maintenance" tasks and providing IT support to computer users within the office
  • First port of call and initial troubleshooting of IT problems and resolving if possible
  • Logging all IT problems and resolutions
  • Liaising with external support company on IT and communication work
  • Overseeing file management on centralized resource (e.g. server) or on individual workstations
  • Inducting new staff on IT systems
  • Keeping website updated (or liaising with whoever does this)
  • Keeping inventory of hardware and maintenance records
  • Ensuring all software is properly licensed
  • Providing input into Communication and IT strategy and annual communication IT budget
  • Input into one-off projects such as database development
  • Input into communication and IT acceptable use policy development
  • Keep abreast of IT technology, maintain library of information
  • Advising on training needs and courses available
b) Communication Responsibilities
  • Liaise with graphics designer, perform copy-editing, coordinate printing and dissemination.
  • Coordinates production and formatting of the organization’s updates, policy briefs, research reports, brochures, etc. disseminate research findings.
  • Marketing and ensuring all organizations - provincial, national and international administrative details are attended to (venue, catering, web casting, video-taping etc.)
  • Designs
  1. flyers and posters messages for instance for seminars, workshops and symposium;
  2. Power Point presentations and
  3. Other Information Education and Communication (IEC) for dissemination.
  • Develops and updates a detailed database of key media, research, government, and non-profit - that can be used for targeted knowledge dissemination.
  • Formats articles and reports prepared by the organizations research staff, including lay-out and copy-editing.
  • Identifies and assists with media opportunities within for profiling the organization and disseminating the work of the organization.
  • Manages and catalogues the organization’s database of pictures and coordinates updates when required.
  • Coordinates use of pictures, obtaining parental approvals and filing of pictures on shared drive and maintaining media files; maintains digital files from the organizations presentations.
  • Coordinate the organizations electronic newsletter.
  • Identifies opportunities to increase the organization’s public relations
  • Coordinates production of organizational communication tools e.g. staff business cards, letterhead, signage etc.
  • Coordinates dissemination of reports, brochures etc.
  • Contributes to the flow of communication within the organization to facilitate ease of access to information about core research units and collective program activities, outputs, achievements, and challenges.
  • Responds to inquiries from the public, by directing them to team members, partners, colleagues and members of the organization / Affiliate expert networks as appropriate.
  • Maintains communication with key contact points in peer and partner organizations.
  • Any other relevant duty allocated by the supervisor
Requirements
  • Must be a born again Christian
  • Diploma Computer Science, Computer, Electronics Engineering or IT or equivalent.
  • Two years of Information Communication Technology(ICT) experience specifically in an NGO
  • Good communications skills.
