G.R.A.C.E Africa is inviting applications for the following positions.

Accounts /Administration Assistant

Position Description

Reporting to the Financial Controller the



Accounts/Administration Assistant will provide a supporting role to the management of the accounting and administrative functions of GRACE Africa

Accounting
  • Act as custodian of petty cash with careful recording on properly authorized petty cash vouchers
  • Receive and verify invoices and requisitions for goods and services
  • Entry of data into the accounting system.
  • Preparation of payment vouchers and writing of cheques
  • Dispatch of cheques to suppliers
  • Sourcing for quotations for supplies as and when needed

Administrative Responsibilities
  • Maintain a filing system for all financial documents
  • Monitor and order office supplies
  • Prepare purchase orders
  • Maintain Inventory files

Knowledge, skills and experience
  • CPA 1 Qualification
  • Ability to maintain a high level of accuracy in preparing and entering financial information.
  • Minimum working experience of 1 year in a non for profit organization.
  • Exposure to sub grant management will be an added advantage.
  • Computer skills including the ability to operate computerized accounting, spreadsheet and word processing programs, and email at a highly proficient level.
  • Confidence in the use of Quick Books is a requirement.
  • Time management skills.

Information Technology Officer

Position Description
  • Reporting to the Communications Manager, the Information Technology Officer will be the overall in charge of Information technology and in the management of G.R.A.C.E Africa website.
  • Help desk support of PCs, laptops, printers, and other IT equipment.
  • Configuration of new users and equipment according to established GRACE policies & standards.
  • Manage and administer the network system and the server system.
  • Configuring and updating antivirus software on the server on a daily/weekly basis.
  • Financial system (Quick books) support such as retrieve old data, user licenses, and other troubleshooting.
  • Assist in the requisition of IT equipment and supplies, timely receipts and inspection of the goods (ensure desired quality and quantities as per specifications).
  • Technical point of contact for IT vendors and supplier including upgrading existing hardware, initiating and follow up on purchases, services, maintenance and repairs.
  • Individual and/or group training to staff on network, software, email, etc. as needed.
  • Ensure compliance with relevant legislations e.g. copyright and intellectual property.
  • Servicing & maintenance of all computersand printers on a regular basis.
  • Advising of G.R.A.C.E partners on proper use, handling maintenance of the IT equipment.
  • Training of G.R.A.C.E partners in basic computer skills.
  • Responsibilities for Web management
  • Assist in managing, updating and administering all GRACE’s online products
  • Manage GRACE’s e-commerce getaways
  • Develop web pages for various GRACE products
  • Web metrics analysis, site performance monitoring and reports generation

Knowledge skills and experience required
  • A diploma in information technology or its equivalent
  • In-depth knowledge of network administration
  • Hands on experience on hardware maintenance skills and software management skills
  • In depth knowledge of Microsoft office suite
  • Possess internet design professional qualifications
  • Hands on work experience in creative internet design a d development
  • Hands on experience in transactional SQL database management
  • Hands on experience with web development and design tools including Dreamweaver, Fireworks, Flash, Photoshop and Illustrator
  • Skills in use of Web Content Management Systems
  • Should be a team player, work without supervision and able to work long hours
