About the position


The Alliance of Bioversity International and CIAT is looking for a highly skilled Analyst to support the Climate Action – Lever 3 Global Support Team.

This position is part of the Climate Action – Lever 3 Global Support Team (L3GST) and will focus on providing administrative and logistics support to research staff of Climate Action team in Africa in coordination with the rest of the L3GST and being supervised the L3GST manager.

Key duties & responsibilities

Provide support and carry out administrative and logistical procedures for the Climate Action projects following L3GSP guidance.

Process all travel requests, ticket flight options, ticket requests, monitoring of the trip (departures/arrivals on time, advance travel processing, insurance, visas, requirements and attention for urgent cases mostly Africa requests), legalization and reimbursement of expenses.

Work with L3GSP in the coordination for the logistics and organization of events, including several high-profile international conferences in collaboration with partners and/or donors in Africa.

Support key event tasks in West and Central Africa such as planning and execution of logistical support for all meetings, workshops and conferences related to the lever, both internal and external.

Execute the process of reimbursement of expenses through organization of invoices, payment authorizations and collection accounts that are generated for the different workshops and meetings.

Execute all procurement requests (office supplies, material for events, business cards, etc.)

Support tasks related to HR matters related to hiring processes, including contractual agreements for research staff, consultants, interns, and visiting researchers.

Process consultant’s payment thru the different hubs in Africa.

Ensure that donor rules regarding the use of funds for services, trips, events, and consultancies are enforced (Collection and correct registration in Share Point of required documentation)

Support L3GSP in the development of the different management reports requires by the units leaders.

Qualifications

Bachelors degree in Business Administration, Finance, or related fields

Minimum two (2) years of work experience in similar positions

Proficiency in English at an intermediate level, with additional language skills considered beneficial.

Demonstrated ability to work effectively as part of a team with people in a multi-cultural and multidisciplinary environment, including with external stakeholders, and excellent interpersonal skills.

Ability to provide a high level of service under pressure
