We seek a
detail-oriented problem solver with a passion for supporting impactful change.
You’ll play a vital role in keeping our coalition running smoothly and
amplifying our online presence. You’ll manage the day-to-day operations, ensure
financial efficiency, and contribute communications efforts to building a
strong digital voice for CAAD and its member organisations. This is an
opportunity to directly contribute to the fight against climate disinformation
and build a healthier information ecosystem.
How
you’ll contribute
- Act
as the primary contact person for CAAD members for day-to-day
administrative and operational matters and daily office operations.
- Manage
daily office operations, including scheduling, correspondence, travel
arrangements, and meeting logistics.
- Coordinate
with member organisations to facilitate their participation in CAAD
initiatives.
- Maintain
accurate records and documentation of activities and processes.
- Provide
administrative support to the CAAD leadership team and program staff.
- Process
invoices and payments in accordance with established financial procedures.
- Prepare
and monitor budgets for CAAD activities and projects.
- Manage
grant funds and ensure compliance with reporting requirements.
- Work
with the finance team of the CAAD host organisation to develop and
implement financial policies and procedures.
- Support
procurement processes including reviewing and analyzing offers and
contracts, communications with external suppliers and maintaining updated
records.
- Handle
event management for virtual and/or international in-person meetings such
as retreats, including logistics, internal and external communication,
supplier management, etc.
- Support
onboarding and offboarding processes of digital team members.
- Support
other operations tasks related to team coordination (e.g., setting up
calls).
- Proactively
contribute to team spirit e.g. through the organisation of team-building
activities.
- Manage
online platforms, ensuring engaging content and consistent visibility for
CAAD and member activities.
Our
ideal candidate has
- Experienced
in administrative and financial management and project coordination.
- Strong
organisational and time management skills.
- Excellent
communication and interpersonal skills.
- Strong
project management and IT skills – an experienced user of cloud-based
collaboration tools (e.g. Slack, Monday.com, Google Drive), and Microsoft
Office including Excel, PowerPoint and Word.
- Experience
with website content management systems and social media platforms is a
plus.
- Understanding
of grant management and financial reporting is preferred.
- Passion
for the mission of CAAD and commitment to climate action.
- A
passion and talent for working with numbers.
- A
fast learner with a can-do attitude and a desire to find solutions to
tricky problems, and who is comfortable working in a dynamic international
environment.
- Ability
to manage deadlines and prioritise between multiple tasks.
- Excellent
attention to detail.
- Ability
to work flexibly, both independently and in a team, and the disposition to
work generously with colleagues in a high-trust community of peers.
- A

- Experience
providing operational support to complex international teams working
