Operations Manager Job in Kenya

Our client, a registered private tertiary medical training institution and regulated by TVETA, is currently seeking to hire an experienced Operations Manager.

The Position: Reporting to the Managing Director, the Operations Manager will be responsible for the general financial and operational management functions and related responsibilities of the organisation in order to ensure business growth and profitability.

In addition, the ideal candidate will provide high quality management accounting in compliance with statutory and regulatory bodies.

The incumbent will be required to work with a wide range of people, including internal and external stakeholders, and will also be expected to be highly organized, proactive and work with a high degree of accuracy and maintain confidentiality.


Key Responsibilities:

·  Manage the operational and financial administration processes within the college and its departments and ensuring that they adhere to all financial controls.

·  Provide management advisory support on all financial processes and procedures and ensure that all transactions are compliant with stipulated regulations.

·  Be the principal advisor to the MD, Dean, Director of Administration, Heads of Departments, academics and other senior staff with budgetary responsibility on ongoing financial matters, including the budgetary position for departments, planning for resource changes including new academic programmes, research projects and other associated activities.

·  Preparing Budgets and Forecasts for on-going and new multi-year programs and be able to manage, follow, audit and report on the same.

·  Prepare quarterly financial forecasts and reports for the College’s management team and board as required.

·  Maintain oversight of all budgets and financial transactions, monitoring expenditure against commitments ensuring expenditure is authorized in line with budget targets

·  Monitor income and expenditure in relation to the college’s budget, and produce monthly management reports for the college governing body

·  Ensure accurate VAT accounting and payment, and that VAT reclaim returns are submitted as required.

·  Co-ordinate all the annual external audit (interim and final) and internal audit liaising with all parties involved, and preparing papers and workings

·  Manage and report on external supplier & partnership agreements/contracts with organizations and vendors that support our objectives and activities.

·  Identify and report on actions required to achieve financial targets set by the college.

·  Prepare high level committee papers and reports on complex financial and non-financial information for our college’s senior management and other faculty committees as required

·  Maintain and oversee all bank accounts including the college’s credit card(s), completing monthly reconciliations and reporting banking errors to the Managing Director

·  Lead on year-end reporting.

·  Contribute to any systems development and process improvement using specialist knowledge and resource planning knowledge to support the organisation’s future strategy and plans.

·  Prepare and deliver briefings and presentations and training as required.

·  Carry out qualitative and quantitative analysis to monitor financial performance and provide input to the value of activities.

·  Identify potential efficiency and resource savings.

·  Monitor and analyse overspending by internal and external stakeholders and managing remedial action where funding has been underutilized or overspent.

Experience & Education

·  A University degree in a business-related course. A Master’s degree will be an added advantage

·  Qualified Accountant (CPA (K), ACCA, or equivalent)

·  Minimum of 5 years working experience in accounting in a mid-senior level position

·  Strong technical Management Accounting knowledge

·  Sound Financial Planning and Reporting & Analysis Experience

·  Experience of working in a complex multi-faceted environment with fixed deadlines

·  Excellent numeracy and financial data handling skills
