About the position

Job Experience: 0 – 5 years.

Job Purpose:

  • Being Nuts and Bolts of the CEO’s office.
  • The position requires working closely with the CEO to achieve strategic business objectives.
  • The ideal candidate should have abilities in business acumen; strategy formulation and P& L understanding; data comprehension; project management, preparing agendas & team working.
  • He/she should possess an eye for details and be able to aggregate and interpret data. The profile provides exposure to diverse challenges facing senior management.

Responsibilities:

Strategic Support:

  • To Manage the overall strategy development and prepare organization monthly dashboards, and make presentation/pitch decks.
  • To create financial reports, proposals, and strategic project roadmaps.
  • Creating documentation reflecting business projections
  • Monitor tasks delegated by the CEO & ensure that the task is achieved to agreed deadlines.
  • Assist the CEO with inputs and data required for making strategic decisions.
  • Coordinating Cross-Functional teams to ensure project deliverables.
  • Continuous assessment of overall company performance and implementation of strategic initiatives.
  • Data Crunching and Analysis.
  • Business Intelligence.
  • Competition Benchmarking.
  • Tracking KPIs and Daily Task Reports of all domains.

Executive Support:

  • Provide sophisticated calendar management for the CEO. Prioritize inquiries and requests while troubleshooting conflicts; make judgments and recommendations to ensure smooth day-to-day engagements.
  • Act as a liaison and provide support to the CEO for Board Meetings. Arrange and handle all logistics for Board meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes on behalf of the CEO, wherever directed. Adhere to compliance with applicable rules and regulations set in bylaws regarding Board matters.
  • Complete a broad variety of administrative tasks that facilitate the CEO’s ability to effectively lead the organization, including assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements;
  • Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO, including those of a highly confidential or critical nature. Prioritize and determine the appropriate course of action, referral, or response, exercising judgment to reflect the CEO’s style and organization policy.
  • Work closely with the CEO to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Act as a “barometer,” having a sense of the issues taking place in the environment and keeping the CEO updated. Anticipate CEO’s needs in advance of meetings, conferences, etc.
  • Coordinate the CEO’s relationship activities. Follow up on contacts made by the CEO and cultivate ongoing relationships.

Communications and Senior Management Liaison:

  • Provide “gatekeeper” and “gateway” roles, providing a bridge for smooth communication between the CEO and staff creating win-win situations for direct access to the CEO’s time and office, demonstrating leadership to maintain credibility, trust, and support with the Executive Team. Complete projects by assigning work to appropriate staff, including the Executive Team, on behalf of the CEO.
  • Coordinate all Executive Team meetings and assist with staff meetings and events as needed.
  • Assists in coordinating the agenda of senior management team meetings and all staff meetings
  • Edits and completes first drafts for written communications as directed by the CEO.

Other projects/duties as assigned for the overall benefit of the organization.

Education Qualifications:

  • Engineer plus MBA or MSc. from Top notch Business School.
  • Experience in Business Analytics software.
  • The ability to speak / working knowledge of any European language (other than English) is preferable, though not necessary.

  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, and external partners.
