IMPORTS CLERK

Our client is a leading manufacturing business in the FMCG sector in East Africa region. They are seeking to recruit a qualified and experienced candidate to fill the following position:

IMPORTS CLERK

Job Summary

To prepare imports documents and coordinate clearing and forwarding activities in compliance with customs and government regulations and provide support to the Imports Manager

Main Responsibilities of Job

§  Review documents to ensure import shipping, handling and storage fees are accurate;

§  Maintain an Imports database to track shipments while on  transit and determine Estimated Time of Departure and Estimated Time of Arrival;

§  Process claims on import shortages and overages;

§  Register accurate customs entries and Imports Declaration Forms (IDF) for clearance of goods;

§  Ensuring that the correct tariff is used to avoid penalties and delays in clearance;

§  Prepare and plan for air and sea shipments in advance to avoid storage costs;

§  Liaise with suppliers to provide relevant documents for air and sea clearance.

§  Scan signed Proforma invoices to suppliers for timely confirmation of orders;

§  Submit online applications for TREO (Tax Remission for Export Office), IDF and Marine through KENTRADE and ICMS.

§  Draft IDFs and Marine insurance for clearing agents and insurance agents in a timely manner;

§  Maintain and update the imports register;

§  Conduct follow up on cleared goods for delivery to the correct warehouse;

§  Coordinate the transportation of goods from the port of entry to various warehouses;

§  Verify invoices from clearing agents, Container Freight Stations and shipping Lines;

§  Ensure that finished goods for export are booked in good time.

§   Liaise with shipping lines, airlines and road transporters to get the respective bills for transportation to various destinations.

§  Keep track of shipment payments and quotas to ensure cost efficiency in the importation processes;

§  Keep abreast with all import laws and procedures and maintain records of all tariffs and license requirements;

§  Prepare reports on import activities and recommends changes if required;

§  Perform any other duties as entrusted from time to time.

Required Skills and Qualifications

§  University degree or equivalent, in Procurement and Supply Chain Management, Business Administration Management or any other relevant field;

§  At least 7 years’ relevant work experience, 3 of which should be in the FMCG manufacturing sector;

§  In-depth knowledge of local importation laws and best practices;

§  Excellent communication and negotiation skills both in English and Kiswahili;

§  Excellent administrative and organizational skills;

§  Attention to detail;

§  Ability to manage deadlines and sometimes difficult situations;

§  Good understanding of FMCG manufacturing operations; and

§  High level of integrity.
