Administration Manager

Description
Overall Objective
The Administration Manager will report to the Director, Human Resources & Administration for provision of administrative support services to the Authority to maximize on service delivery and support the efforts towards the achievement of corporate goals.
Responsibilities

·         Formulate and review administrative policies;
·         Oversee the management of service contracts and service level agreements for outsourced services;
·         Ensure provision of efficient transport services;
·         Ensure records management is provided in compliance with the Legal provisions and Corporation quality standards;
·         Ensure provision of all staff welfare and housekeeping services;
·         Co-ordinate repairs and maintenance of facilities;
·         Ensure travel clearance, visas and other necessary travel documents for the Board of Directors and staff travelling out of the country on official duties are done promptly;
·         Develop departmental budgets; and
·         Co-ordinate and oversee Occupational Safety and Health (OSH) matters.
Qualifications
·         Demonstrated merit and ability as reflected in work performance and results.
·         Have not less than seven (7) years knowledge and experience in Administration, three (3) of which should be spent in a position of Assistant Manager or equivalent in the Public Service or in a recognized organization; and
·         A Masters Degree in any of the following fields; Public/Business Administration, Human Resource Management, Strategic Management will be an added advantage;
·         Be a holder of a Bachelors Degree in any of the following fields; Public/Business Administration, Transport and Logistics Management, Logistics & Supply Chain Management, Sociology or any other relevant field from a recognized Institution;

HR & Admin Director
Description
Overall Objective
Reporting to the Chief Executive Officer, the Director Human Resources and Administration will be responsible for ensuring that KEMSA has optimal human resources capacity.
Responsibilities
·         Plan and co-ordinate Human Resource activities, ensuring that there are adequate resources to support the activities;
·         Formulate and review Human Resource and administrative Strategy, policies and procedures;
·         Manage organisational change in line with the operational processes to enable each function to deliver key objectives;
·         Manage recruitment of staff and ensure that employees remain motivated in order to deliver the desired results;
·         Organise and manage career & succession planning;
·         Manage employee compensation and benefits schemes;
·         Co-ordinate all administrative support services;
·         Manage and oversee records management and registry services for KEMSA; and
·         Ensure and facilitate a conducive work environment that enhances employee safety and health.

Qualifications
·         Be a holder of a Bachelors Degree in Social Sciences or other related field from a university recognized in Kenya;
·         Possess a Masters Degree in Human Resource Management, Business Administration, or equivalent from a university recognized in Kenya;
·         Have professional qualifications in Human Resource Management or equivalent from a recognized institution;
·         Be a valid member of a recognized professional Human Resource body (e.g. IHRM), in good standing and must possess a valid practising certificate; and
·         Have not less than ten (10) years’ knowledge and experience in human resource management, five (5) of which should be in a senior management level.

Operations Director

Description
Overall Objective
Reporting to the Chief Executive Officer, the Operations Director will be in charge of warehousing and distribution functions, in which S/he will develop the necessary capacity to manage the processes to deliver results.
Responsibilities
·         Direct, plan and coordinate activities to ensure smooth and efficient operations in Warehousing and Distribution of pharmaceutical and non-pharmaceutical products;
·         Liaise with Quality Assurance in the supply chain, to ensure adherence to Good Manufacturing Practices (GMP), World Health Organization (WHO) guidelines and Pharmacy and Poison’s Board (PPB) requirements in the downstream supply chain processes;
·         Manage the warehousing facilities, ensuring proper storage and custody of supplies to customers;
·         Provide direction to the distribution function to ensure timely and cost effective delivery of products to customers;
·         Liaise with quality assurance department on technical regulatory aspects of the business;
·         Oversee the design and implementation of pharmaco-vigilance activities;
·         Support and contribute to the IT development solutions for KEMSA; and
·         Provide regular updates to senior management and the Board in such format as may be required to develop and manage the business.
Qualifications
·         Be a holder of a Bachelors and Masters degree in any of the following disciplines; Pharmacy, Procurement & Supply Chain Management, Logistics Management or any other related field from a recognised university;
·         Have not less than ten (10) years’ relevant work experience, five (5) of which should be in a senior management position, preferably in pharmaceutical supply chain;
·         Be a member of a relevant and recognized professional body in good standing; and
·         Possess strong commercial awareness and business orientation.
