Accounts and Administrative Assistant

Location: Fedha, off Outer Ring road, Nairobi
Our client, a provider of automated greasing systems and total lubrication solutions, is hiring an Accounts and Administrative Assistant to join their company.
Accounting Roles: 

·         Reconcile invoices and identify discrepancies
·         Create and update expense reports
·         Process reimbursement forms
·         Prepare bank deposits
·         Enter financial transactions into internal databases
·         Check spreadsheets for accuracy
·         Maintain digital and physical financial records
·         Issue invoices to customers and external partners, as needed
·         Review and file payroll documents
·         Participate in quarterly and annual audits
Administrative Roles:
·         Answering and directing phone calls to relevant staff
·         Scheduling meetings and appointments
·         Taking notes and minutes in meetings
·         Ordering and taking stock of office supplies
·         Being a point of contact for a range of staff and external stakeholders
·         Preparing documents for meetings and business trips

·         Processing and directing mail and incoming packages or deliveries
·         Greeting and directing visitors and new staff to the organisation
·         Researching and booking travel arrangements for staff members
·         Finding ways to improve administrative processes
Requirements
·         Degree/Diploma
·         ATC/CPA certified
·         More than 2 years accounting experience
·         Proficiency in QuickBooks and Excel
·         Knowledge of clerical practices and procedure
·         Knowledge of accounting, data and administrative management procedures
·         Excellent computer skills and knowledge of office software packages
·         Excellent time management skills and ability to multi-task and prioritize work
·         Attention to detail and problem solving skills
·         Excellent written and verbal communication skills
·         Strong organizational and planning skills
·         Integrity
