Assistant Administration Officer Job in Nairobi, Kenya

Our client, whose core function is geared towards advancing its activities around the pillars of a field-oriented approach, human security, enhanced effectiveness, efficiency, and speed.

They are seeking to recruit an Assistant Administration Officer.
Location: Nairobi
Duties and Responsibilities

·         Conduct day-to-day accounting work for proper budgetary management of the Project;
·         Conduct day-to-day management of expenditure through accurate ledger keeping and proper management of petty cash;
·         Provide proper accounting instructions and advices to other project team members;
·         Be in charge of preparing monthly payroll of project employees;
·         Be in charge of calculating PAYE, NHIF and NSSF of the employees monthly;
·         Be in charge of procurement of equipment which are necessary for the Project, following organization’s rules and regulations on procurement;
·         Supervise the administrative assistant on management and purchase of consumable supplies in the project office for smooth running of office works through stocktaking, recording and procuring necessary supplies;
·         Supervise the administrative assistant to maintain project office equipment to be functional and be in good condition for use, and order maintenance services in proper timing;
·         Manage the project vehicles’ work schedule and drivers’ assignment for activities for the Project;

·         Coordinate between organizations experts, counterparts and relevant organizations in order to conduct workshop/seminar/meeting
·         Manage logistics and minutes-taking related to meetings, trainings and other project functions, based on instructions given by the experts. A part of this responsibility can be delegated to the administrative assistant;
·         Organise accounting documents and official letters which are related to the Project activities with proper filing systems;
·         Record the Employee’s day-to-day work in a working record sheet, and report to the expert on daily basis; and
·         Conducting other additional project-related works, which are instructed by the experts.
Qualification and Experience
·         Bachelor/Diploma in Business Management
·         3 years’ experience in similar role
·         Strong communication and presentation skills
·         Good organization and prioritization skills
·         A high standard of written/spoken English
