firm based in Nairobi and seeks to hire a qualified person for the role of HR & Administration Assistant.

She will handle employee grievances
formally and informally, forward them to concerned department and follow up for
resolution. She will play the role of Employee champion by knowing and
counseling their employees as and when required.

Salary Scale: KES 30,000 – 40,000
Position: The HR & Admin Officer is
directly responsible for all human resource assignments and office
administration. The HR & Admin Assistant shall be the central person for
all HR and Admin related communication for the district.
Job Responsibilities
Recruitment:
·
Maintain a database and receive
directions from the in-charge about the new positions, contribute actively in
planning the recruitment cycle of such new requirements and implement them.

Facilitate the entire recruitment
process.
·
Maintain the personal files of the
new recruits.
Onboarding and Induction:
·
Responsible for planning and ensuring
systematic induction and training for all new employees.
·
Facilitate with all those that are
supposed to participate in training/induction of new employees to ensure that
the induction is carried out smoothly.
Attendance and Leave management:
·
Track the attendance of all staff day
wise in the recommended format.
·
Ensure that the attendance logs are
accurate.
·
Track leave database, eligibility,
and closing balances and ensure that staff proceed for their annual leave when
due.
·
Provide periodic reports on monthly
bases or on demand to the director including sick leaves, compassion leaves and
maternity leaves.
Salary Processing / Payroll
·
Provide, when required, payroll
inputs such as attendance summary, leave summary, other deductions to payroll
employee wise in specified format for processing payroll.
·
Ensure that pay slips are distributed
to all staff.
Employee data
·
Maintain the complete database of all
employees in payroll in specified format and update them regularly with any changes
as they may occur.
Performance Management
·
Track Probation reviews with
timelines and ensure outcomes are communicated formally through letters.
·
Communicate, facilitate and
participate in the process of annual appraisals, receive, verify the forms and
share the consolidated outcome in specified formats.
·
Ensure that contract renewals or
termination are done in a timely manner.
Data Management
·
Maintain the HR files such as
employee personal files, recruitment file, and performance appraisals etc.
Education, Qualification and skills needed
·
Degree or Higher Diploma in Human
Resource Management is a MUST
·
Minimum 3-5 years of experience in HR
& Admin in a busy environment is a MUST
·
Proficient in Computer use and
applications – Excel, Word, Outlook – with good typing speed.
·
Excellent, warm, but firm and
assertive.
