Assistant Groups & Events Sales Manager

Reporting to the Groups and Events Sales Manager, the Assistant Events Manager’s main function is comprehensive consultation and mentoring of the Event organizer under consideration of the clients detailed needs and expectations with the goal to ensure optimal and effective Banquet Event Orders (BEOs) and Group Information Sheets, perfect service delivery and revenue maximization in compliance with the Kempinski Standards. 
Assistant Groups & Events Sales Manager will also be responsible for ensuring that the hotel achieves its financial objectives by assisting the concentrated sales efforts of the Groups and Events Sales Team, extend his/her assistance to other professional sales team members when requested, up selling, actively support and implement Talent Development initiatives as a part of his/her daily activities by identifying training talents, support cross exposure and task force assignments for their team and take personal interest in their talents development plans.

Responsibilities

·         Assist the Groups and Events Sales Manager in the Management of the Department especially in the absence of the Groups and Events Sales Manager.
·         Attend meetings and client events in the absence of and / or instead of the Groups and Events Sales Manager.
·         Direct receipt, qualification and coordination of event & group requests (incl. leads, RFPs, etc.) defined by her/his direct supervisor.
·         Handle requests according to the relevant standards within a maximum of 5 (business) hours of its receipt.
·         Apply the Kempinski MICE SOP’s from Group Enquiry to Contracting.
·         Ensure the ideal and most effective utilization of the Meeting and Conference Rooms.
·         Carry out site inspections with potential MICE clients in coordination with the Field Sales department.
·         Realize up sell possibilities to meet and surpass Group & Event budget goals.
·         Thoroughly input, supervise and maintain the requests in the Opera S&C System according to the data input standards.
·         Create activities to ensure ongoing maintenance of bookings.
·         Generate proper proposals and contracts.
·         Follow up on sent out proposals within 24 hours (1 working day) to ensure the client has received the information and to clarify possible questions and issues.
·         Handle the enquiries until conversion to definite bookings including negotiation, contracting, and site inspection before handing over to the Groups & Event Sales Coordinator.
·         Ensure a proper handover of the converted business to the Groups & Events Coordinator with all relevant information forwarded.
·         Introduce the Groups & Events Coordinator to the client.
·         Conduct Exit Interviews with important customer after their event – asking for future business.
·         Cross-sell to other hotels within the Kempinski Group (and GHA).
·         Regular competition checks.
·         Review monthly results and forecasts to recommend and execute activities required to ensure the hotel increases the market share and maximizes its revenue.
·         Properly maintain LOS/CAN and UNC business.
·         Perform any other duties as assigned to them by management.

Qualifications

·         University/College/Tertiary level education required.
·         Previous experience in luxury hotels is required.
·         3 years experience in Group & Event , reservations or sales preferred
·         Experience in a similar role and proven track record may be considered in lieu of specialised education
·         Excellent communication skills
·         Knowledge and experience in the use of Opera
·         Knowledge in a foreign language will be a distinct advantage

Key Responsibilities

·         Supervise all employees in the Pastry/Bakery kitchen
·         Create new pastry and dessert menus for all restaurant outlets and banquets, conduct tastings and presentations with photos and costing
·         Assist the Executive Pastry Chef in establishing culinary standards specific for Pastry/Bakery which meets the need of the target market.
·         Develop and maintain up-dated operations manuals for all food production and Stewarding sections and make recipes and maintain up- dated and accurate costing of all Pastry dishes prepared and sold in the Food and Beverage operation
·         Supervise the Pastry kitchen staff in the preparation and presentation of all food items in accordance with the hotel’s food and beverage standards and standardized menu guidelines
·         Inspect several times daily all food stores and refrigerated areas and suggest, where necessary, correct storage methods to comply with Health & Safety regulations, to avoid spoilage and ensure regular turnover of food items and give completed check lists to the Executive Pastry Chef.
·         Check food preparation, individual costs, quality, quantity inventories and portion control on a daily basis
·         Liaise with the Chief Steward in order to ensure high standards of cleanliness are maintained in all areas of the Pastry/Bakery kitchen, such as machinery and small kitchen equipment
·         Plan the duty rosters on weekly basis.
·         Ensure training needs analysis of the pastry staff is carried out and training programmes are designed and implemented to meet the needs
·         Work with Executive Chef in the preparation and management of the department’s budget
·         Assist in coordinating the preparation of the departmental annual budget
·         Control and monitor departmental costs on an ongoing basis to ensure performance against budget
·         Provide input for probation and formal performance appraisal discussions in line with company guidelines.
·         Comply with all Kempinski company policies.
·         Demonstrate Awareness of OH&S policies and procedures and ensure all procedures are conducted safely and within OH&S guidelines.
·         Be familiar with property safety, first aid and fire and emergency procedures and operate equipment safely and sensibly.

Qualifications:

·         High School or secondary diploma required
·         Gastronomic education certificate or equivalent (apprenticeship/diploma/BA/Bsc)
·         Minimum 4 years kitchen experience
·         Minimum 3 years in a pastry kitchen role, preferably with a 5* Hotel chain
·         International experience preferred
·         Excellent written and verbal communication skills.
