Job Vacancy: Program Coordinator – Shujaaz

Well Told Story is looking to hire a project coordinator to coordinate the delivery of all their Shujaaz programs in Kenya.

Key Responsibilities
·         Provide administrative support to the ‘Head of Programming’, to ensure timely and efficient delivery of multi-million $ youth programmes across all of Shujaaz media platforms
·         Create detailed, effective work-plans for each contract and ensure they are updated consistently
·         Work closely with program teams to ensure activities take place as per the work-plans
·         Prepare for donor visits by organizing logistics and creating materials / presentations
·         Regularly update the Program Teams and the Head of Departments on progress against activity plans
·         Regularly problem-solve and re-strategize around issues arising
·         Support the ‘Head of Programs’ on report writing, content gathering, data-base management
·         Represent WTS externally including in government meetings as required
Internal Communications
·         Ensure all relevant departments / staff are appraised on client/contract/grant matters and obligations
·         Extract relevant information from partner correspondence and communicate with relevant teams accordingly
·         Follow up on actions raised by partners at meetings with relevant staff
·         Ensure actions are taken by relevant teams for timely feedback to client
·         Maintain up to date databases for all project schedules, deliverables/milestones
Education: Educated to Degree level (graduate degree preferable).
Experience
·         You have strong organizing and administrative skills
·         You are confident using excel and other database tools
·         You must have good interpersonal skills and excellent at client-facing interactions
·         PMP/PRINCE II certification is an added advantage

Job Vacancy: Project Assistant – Shujaaz
Well Told Story produces the award-winning media communications channel Shujaaz. Shujaaz inspires and motivates millions of young Kenyans to take action to improve their lives and engage with urgent practical issues that shape their future.
Among other forms of media, Shujaaz publishes a comic magazine which is distributed by a network of 3000+ young people who own and operate small businesses all over the country. We call these distributors SuperFans.
Currently Shujaaz, in partnership with two other organizations, is implementing a special project that seeks to provide free reproductive health services to girls. This project is being implemented through the network of SuperFans who create awareness and mobilize girls to take up the services on offer.
To assist the team that is working on this project Shujaaz is looking to hire a Project Assistant to attend to a selected range of tasks.
This job will run for one (1) year with its extension subject to continuation of the project.
Key Responsibilities:
Super Fan Recruitment and Relations
·         Identify and recruit SuperFans for the In Their Hands (ITH) Project from an existing pool of fans.
·         Keep the recruited SuperFans engaged and well informed on the project.
Communication
·         Make and receive all ITH SuperFan related phone calls and handle the SMS traffic
·         Run all ITH WhatsApp groups
·         Share relevant information with the rest of the team in time for action
Field Work
·         Organize for and attend all SuperFan field work related to the project as may be required.
·         With support of the relevant project manager, coordinate with corresponding members of the team in planning shared events
·         Liaise with Shujaaz team members to ensure field work and other activities do not conflict with regular comic distribution and other activities
Education
·         A degree or diploma in social sciences
·         Any customer care or communication training is an added advantage
Experience
·         At least 2 years’ experience in customer care, a busy reception area or a call centre
Skills
·         Very high proficiency in the use of MS Office Excel and other MS Office applications
·         Good interpersonal skills and excellent customer interactions
·         Exceptionally organised
·         Ability to pay great attention to detail
·         Self-motivated & disciplined
