Applications are invited from suitably qualified candidates for the position of Secretary / Personal Assistant
Applicants must be holders of
·         KCSE academic certificates mean Grade C – or an equivalent (with a C in English)

·         Diploma in secretarial studies from a recognized Institution.
·         3 years working experience in a busy senior office of a large organization
·         Typewriting 50wpm, Shorthand 120wpm, Business English III, Office Management III, Secretarial duties II Office Practice II, Commerce Management II. In addition.
·         Must have served in the Secretarial position for three years. Competence in computer literacy is a must.
Roles & Responsibilities:
·         Manage and maintain the Director’s diary and email account.
·         Filter emails, highlight urgent correspondence and print attachments.
·         Organize inbound emails into the appropriate folders and any relevant information to be copied into the correct folder in the computer.
·         Respond to emails as much as possible and dealing with appointments.

·         Ensure busy diary commitments, papers and travel arrangements are managed effectively including producing a daily folder with diary, necessary papers and troubleshooting problems.
·         Conduct weekly diary meetings with the Director to discuss upcoming engagements, invitations and other requests.
·         Schedule on behalf of the Director meetings between her and the board committees and groups to which she is a member.
·         Filter general information, queries, phone calls and invitations to the Director by redirecting or taking forward such contact as appropriate.
·         Ensure the Director is fully briefed on, or prepared for, any engagements she is involved in. Keep and maintain an accurate record of papers and electronic correspondence on behalf of the Director.
·         Prepare correspondence on behalf of the Director, including the drafting of general replies.
·         Minute board meetings as required and complete research on behalf of the Director.
·         Keep and retrieve files.
·         Ensure guests meeting with the Director are well taken care of.
·         Provide a service that is in line with the Director’s work habits and preferences.
·         Any other duties that may be assigned to you by your superior.
