Finance Assistant
Duration of Contract: 1 year
Reports to: Finance and Administration Manager
The adoption of the Paris Agreement and subsequent ratification by countries ushered in a new era in the international climate change dialogue processes, shifting the focus from negotiations to implementation. Coming with the Paris Agreement was the Nationally Determined Contributions (NDCs), a set of voluntary actions each country is supposed to undertake in their transition to low-carbon, climate-resilient green development trajectories.
This massive transition requires institutions with desirable capacity and requisite human resource.

Position Summary: To assist the organization in achieving optimal performance in terms of program quality strengthening operations and finance department by emerging tools, systems and staff capacity to adhere to PACJA financial and operations policies and procedures and Donor compliance.

Responsibilities

Cash & Bank payments processing
·         Monthly Reconciliation of all bank accounts and preparation of payment listings ready for review and upload into the sun system.
·         Manage the petty cash by ensuring that all payments are done according to the provided procedures and set limits. .
·         Preparation of petty cash spreadsheets to upload stage ready for review by Finance and
·         Administration Manager or her designate at the end of the month.
·         Ensuring that authorizations on the payments requests are in line with the approved limits per the organizational policies.
·         Maintaining the receipt book and ensuring that authorized receipts are issued upon receipt of monies.
·         Ensure that statutory deductions such as PAYE and other payroll deductions are remitted before the 9th of the following month.
·         Oversee the maintenance of an accurate and updated cash flow report. Provide weekly updates on this to the relevant supervisor.
·         Work closely with the FAM or her designate to ensure that there is sufficient bank reserves at all times for all bank accounts.
·         Maintain an organized and well-documented bank correspondences file ensuring it’s continuously updated.
·         Perform regular supplier reconciliation to be done on a monthly basis.
Reporting
·         Loading of month-end journals into the accounting system by the stipulated timeline to ensure timely submission of the month-end file by the 6th of every month.
·         Prepare Monthly Balance Sheet schedules as assigned. Make sure all items in the balance sheet account are current and can be supported. Follow-up on any adjustments to be made.
Document preparation & control
·         Preparation of all payment requests, while ensuring completeness and accuracy of support documentation attachment on payment requests.
·         Ensure that liquidation and accounting of staff travel advances are done correctly. This will include verifying per diems rates, attached documentations against the provided PACJA policy guidelines.
·         Oversee the payment turn-around period to avoid delays in handling requests submitted to finance.
Filing
·         Maintain an organized and well-documented (all files must be labeled properly and visibly) and sequential filing system for all cash disbursement vouchers
·         Before filing, ensure that all documents have been stamped ‘PAID’ including cash payment reference details.
Other
·         Preparation of corrective journals and assisting in loading of journals as and when required
·         Any other duties as may be assigned by the supervisor.

Qualifications

·         A bachelor’s degree in Finance/Business Administration with minimum CPA II qualification
·         Work experience in a similar position.
·         At least three years of finance and accounting experience in a similar position;
·         Knowledge of Microsoft Office software. SAGE pastels System accounting is an added advantage;
·         Ability to work independently in a rapidly changing professional environment with a view towards establishing administrative procedures and protocol that will ensure optimal functioning of the operation;
·         Excellent interpersonal, organizational, and time management skills;
·         Ability to work in and as a team.
·         Punctuality, intellectual curiosity, willingness to take initiative, multi-tasking, and willingness to work under pressure to meet deadlines.
·         Fluency in written and spoken English

Communication Assistant

Position Summary: Documentation and ensuring branding and compliance issues related to internal and external communication are adhered to. Prepare reports, project briefs, technical briefs and communication materials as required.
Responsible for relevant social media management and website content management.

Responsibilities

·         Edit and proof-read all communication materials before they go out for print and ensure effective dissemination of all materials based on strategic dissemination plans
·         Formulate Quarterly Newsletters, annual reports for the PACJA project in consultation with the Knowledge Management Officer. Budgeting for the communication and documentation activity along with a detailed work plan with timelines.
·         Data Management of all communication activities as well as organized concurrent evaluation to understand the impact of the activities carried out by the programme/ project teams
·         Monthly and programmatically submit reports and provide weekly updates. Ensure the baselines are understood and required analysis is made.

Qualifications

·         Bachelors in Communication, Journalism, or any other relevant studies.
·         Punctuality, intellectual curiosity, willingness to take initiative, multi-tasking, and willingness to work under pressure to meet deadlines.
·         Fluency in written and spoken English. Knowledge of French is desirable.
·         3 years of experience in developing communication aids, strategy development, documenting projects.

·         Demonstrated high-quality writing, editing, and proof reading skills.
·         Desirable Knowledge of networking desirable

Summary of the position: reporting to the Senior Programme Management Officer, the Programme Assistant will provide programmatic and technical support in the Implementation of the PACJA programmes.

Responsibilities

·         Support implementation of the programme strategies focusing on achievement of the following results:
·         Assist in development and implementation of programme strategies, work plans including monitoring and evaluation plans.
·         Collection, analysis and presentation of information needed for programme development and implementation.
·         Assist in developing and implementing project communication strategies
Provide effective support to management of the programme focusing on the achievement of the following results:
·         Track and report on programme implementation and funds utilization.
·         Presentation of information for audit and evaluation of the projects.
·         Assist in preparation, filing, compilation and dissemination of documents/materials relating to the programmes.
Provide administrative support to the programme department focusing on achievement of the following
·         Provide logistics support for campaigns, events and project related forums.
·         Maintain good communication with other units of the secretariat and with external counterparts at the working level.
·         Assist in maintaining the programme / project profile at the Secretariat, including preparation of
required budget revisions, creation of requisitions making budget check for requisitions for the programe department
·         Provide other daily administrative support to the programme department
Support knowledge building and knowledge sharing focusing on achievement of the following
·         Participation in the trainings for the operations/ projects staff on programme issues.
·         Contributions to knowledge networks and communities of practice.
Other relevant responsibilities as assigned by the Senior Programme Management Officer

Qualifications

·         University Degree in any area relevant to Project Management, Social Sciences, etc
·         Minimum of 2 years of relevant administrative or programme experience;
·         Experience working with networks preferred.
·         Good interpersonal and communication skills and team work spirit
·         Experience in the usage of computers and office software packages (MS Word, Excel, etc) and knowledge of spreadsheet and database packages, experience in handling of web based management systems.
·         Punctuality, intellectual curiosity, willingness to take initiative, multi-tasking, and willingness to work under pressure to meet deadlines.
·         Fluency in written and spoken English. Knowledge of French is desirable

The Office Administrator is a hands-on role that is primarily meant to ensure that all the actionable points that may include planning logistics in activities, document preparation, item delivery, activity scheduling are met on time and in an efficient manner.

Responsibilities:

·         Execute administrative related tasks, under supervision of the Human Resource and Administration officer
·         Make all administrative information available to the staff (meetings, workshops etc.)
·         Undertake administrative tasks, ensuring the rest of the staff have adequate support to work efficiently.
·         Man the front office and ensure all visitors are assisted promptly and professionally. Responding to queries.
·         Managing correspondence and dispatch both internal and externally. Liaising with various service providers.
·         Set up and arranges meetings, facilities travel tickets, accommodations, etc as required.
·         Maintain files, materials, information, schedules and related data.
·         Maintains office hygiene. Support staff on administration and operational issues.

Qualifications

·         A Bachelor’s Degree or a Higher Diploma in Administration or Secretarial studies;
·         A minimum of three (3) years relevant experience
·         Punctuality, intellectual curiosity, willingness to take initiative, multi-tasking, and willingness to work under pressure to meet deadlines.
·         Fluency in written and spoken English. Knowledge of French is desirable.
·         Additional qualification in office management, logistics and events management and accounting preferred.
·         Experience within the Not for Profit sector, coalitions and familiarity with different cultures will be an added advantage.
