Administrative Assistant Job in Nairobi, Kenya

Sanergy is looking for a qualified Administrative Assistant to join our Business Risk Management team on a full- time basis.

Our systems-based approach to solving the sanitation crisis involves 3 critical steps: we build a dense network of high-quality sanitation facilities — Fresh Life Toilets — franchised to residents in the community. 

We collect the waste regularly and safely remove it from the community. Finally, we convert the waste into valuable agricultural inputs, which we sell to Kenyan farmers.

About the role: The team works to ensure that all company operations are conducted in a transparent manner that promotes accountability for all company expenditure. 

This role will support the administrative needs of the Business Risk Management team which focuses on legal, regulatory and audit related issues. 

The role holder  will be supporting multiple team members ranging from full time staff to fellows within the organisation ranging from entry level to senior management.

A typical day for you might include the following
·                     Under limited supervision, performs complex administrative duties(e.g. preparing letters,memos and reports)  using standard policies, procedures and guidelines.
·                     Resolves simple Business Risk Management related inquiries via telephone, email, correspondence or in person.
·                     Organizes, manages, coordinates, and monitors tasks to meet deadlines.
·                     Sends, sorts and distributes mail originating from Business Risk Management team to external stakeholders.
·                     Photocopies, prints and faxes information where applicable to both internal and external stakeholders of the team while managing filing and records
·                     Schedules and maintains calendar of appointments, meetings and plans and schedules onsite and offsite meetings for the team.
·                     Works with the relevant internal stakeholders to get and maintain BRM office supplies and an inventory of the same
·                     Assists Business Risk Management staff in various activities such as coordinating information flow, preparing contracts for distribution to various talent partners across the organisation, completing and processing expense reports against the team’s budget, reimbursements and other forms for approved legal training's, handling and processing sensitive and confidential documents, creating and maintaining databases/files/reports, and/or reviewing/proofreading and processing proposals, documents, reports, and files.
·                     Works independently to structure administrative tasks to obtain required outcome using complex software applications in managing and completing workload tasks.
Skills and qualifications you’ll need 
·                     Diploma in administration/ secretarial studies from a reputable institute
·                     At Least 2 years full time working experience in a busy office set up supporting at least one member in senior leadership
·                     Experience working with legal practitioners and handling legal documentation is added advantage
·                     Demonstrable expertise in Microsoft packages.
·                     Strong command of the English language, both written and spoken
·                     Ability to maintain high levels of confidentiality
·                     Strong organizational skills.
·                     Strong interpersonal, communication & presentation skills (verbal, written) and the ability to build effective internal and external client relationships.
·                     Ability to exercise tact, courtesy, and judgment in working with all levels of staff.
·                     Pleasant, energetic, confident, with a positive, can-do attitude, good work ethic and professionalism.
·                     Proactive, able to multi-task, prioritize work, meet deadlines & works effectively under pressure with minimum supervision
·                     Demonstrated initiative in developing solutions to meet complex administrative/technical needs of work group.
·                     Demonstrated ability to maintain equilibrium and focus in a demanding, fast-paced work environment and be  a team player.
