Responsibilities

·         Maintaining high standards of cleanliness and orderly working environment in the office of the governor.;
·         Ensuring proper standards of maintenance and arrangement of office pantry are met as required such as setting beverages on the table
·         Maintain privacy and confidentiality when dealing with confidential documents

·         Answer and manage incoming calls to facilitate service delivery
·         Receive and interact with visitors and other staff to facilitate service delivery
·         Handle incoming and outgoing mails, reports and other documents
·         Prepare and edit correspondence, communications, presentations and other documents
·         Organize and maintain diaries and make required appointments
·         Arrange and coordinate meetings and events
·         Record, transcribe and distribute minutes of meetings
·         Manage and maintain schedules, appointments and travel arrangements
·         Conduct research, assemble and analyze data to prepare reports and documents
·         Filing and maintenance of office correspondence and other documents
·         Ensure smooth flow of information by monitoring, corresponding to and distributing incoming communications
·         Build effective link between the executive the clients and other colleagues
·         Ensure all office windows and doors are opened in the morning and that they are secured in the evening
·         Liaise with various departments to collect information and respond to request

Qualifications

·         Be a Kenyan citizen
·         Diploma or Higher Diploma in Secretarial Studies from a recognized institution in Kenya
·         A certificate in computer applications from a recognized institution; and
·         Minimum 3 years relevant work experience in a busy organization.
·         Shorthand III (100 wpm)
·         Typewriting III (minimum 50 wpm) or Computerized Document Processing III
·         Secretarial Duties II, Office Management III or Office Administration and Management III; Business English III or Communications III Commerce III.
