Administrative Assistant Job in Kenya

Our client in the not for profit sector has been contracted to implement a 3-year donor project and is seeking suitable and highly motivated people to fill the following positions within the project:

Administrative Assistant

 
Purpose of the role: The Administrative Assistant is a hands-on role that is primarily meant to ensure that all the actionable points that may include document preparation, item delivery or activity scheduling are met on time and in an efficient manner.
 
Responsibilities:
  • Execute administrative related tasks, under supervision of the Administration Manager
  • Make all administrative information available to the staff (posting, meetings, etc.)
  • Undertake administrative tasks, ensuring staff have adequate administrative support to work efficiently.
  • Provide front office services and ensure all visitors are assisted promptly and professionally and respond effectively to customer queries.
  • Manage correspondence and dispatches both internal and externally.
  • Liaise with various service providers.
  • Set up and arrange meetings, facilities, travel and accommodation as required.
  • Maintain files, materials, information, schedules and related data.
  • Maintains office hygiene, support staff on administration and operational issues.
  • Ensure the office is opened and closed as per schedule.
Qualifications
  • A minimum of three (3) years relevant experience
  • Bachelor’s Degree
  • Additional qualification in office management, business management or accounting preferred.
  • Experience within the Not for Profit sector and familiarity with donor reporting
