Administrative & Account Assistant Job in Nairobi Kenya

The SHARP study aims to investigate the use of assisted partner services (APS) and phylogenetic testing to prevent the spread of HIV and hepatitis C among people who inject drugs (PWID) in Nairobi. 

We are looking to hire several positions for our research team based in Nairobi. We are committed to excellence in our research, and to working with vulnerable populations with the utmost respect and care.

We require an administrative and account Assistant to support the above research and other research activities under the university of Washington.

Administrative & Account Assistant


Key Responsibilities and Tasks Include;
  • Liaise with the Grants and Contracts Office at University of Washington and collaborating institutions to facilitate management of grant funds
  • Preparation of Payroll and locum, follow through and ensure paychecks are processed and paid in time.
  • Prepare Monthly budgets, maintain petty cash, reconcile and submit to UW-K for reimbursement
  • Validate all supporting documents and Coordinate payment of suppliers and other project vendors
  • Reconcile project accounts in the different collaborating institutions
  • Prepare monthly financial reports for the different collaborating institutions
  • Maintain accounting records
  • Manage implementation of various multiple project budgets
  • Implement internal controls for project office using UW-Kenya policies and procedures
  • Provide general administrative support including Data entry, mailing, scanning and photocopying management
  • Run program errands e.g. purchase of office supplies
  • Help to maintain administration office (electronic and hard copy) filing system
  • Ensuring NHIF and NSSF remittances are up to date
  • Liaise with UW-Kenya Country Office team as needed
  • Compile and deliver document package and follow up approval from the Ethical Review committees and keep files up to date
  • Schedule and coordinate appointments, travel and meetings
  • Any other administrative and accounting work that may arise
Desired Qualifications and Experience:
  • Education: Higher National Diploma or Diploma in Business Administration, Commerce or related field and minimum qualified CPA II
  • Experience: At least one-year experience as a finance and administration assistance, financial policy implementation preferably in the Non-Governmental Organization sector or medical research field.
  • Proficiency in the Microsoft Office Suite
  • Proficiency and experience in QuickBooks or similar computerized accounting software is an added advantage
