Context: Under the overall supervision of the Logistics and Procurement Officer and under the direct supervision of the Senior Procurement and Logistics Assistant, the candidate will be responsible for the following:

Core Functions / Responsibilities:
- Collect
data for consignments and cargo shipments for the office e.g. brand,
model, serial number.
- Verify
that new purchased items have been entered into the inventory database and
assigned respective coding keys.
- Conduct
first review of vendor invoices to ensure compliance with order and goods
received.
- In
charge of all assets and ensures appropriate records regarding assets
disposal; ensure assets are located accordingly and used in IOM’s best
interest.
- Carry
out the Assets Inventory records update and management for the mission; HQ
at Nairobi along with the other sub-offices in Kenya.
- Provide
administrative support for all Procurement and Logistics related issues;
like assisting in preparing the paper work and tracking signatures from
signatories.
- Conduct
and follow-up on the stock needs in Nairobi Office, distribute and
replenish whenever needed.
- Keep
archiving system updated with proper labels.
- Ensure
good management, repair and maintenance of all items managed in the
mission; Nairobi along with the other sub-offices in Kenya: laptops,
digital camera, satellite phones, and mobile Phones.
- Assist
in coordinating the preparation of meeting rooms and equipment, according
to requirements.
- Managing
all mobile phone lines for IOM Kenya mission.
- Ensure
all assets in premises (generators, lights, security alarms, fence, fire
extinguishers etc.) are in good order and regularly maintained.
- Provide
full logistical support for delivery, construction activities in the field
including transport to and from the Sub-offices.
- Monitor
the spare parts and maintenance records of all vehicles and keep a
tracking Database of the same.
- Any
other duties within the incumbent’s capabilities that might be assigned by
the Logistics/Procurement Officer.
Required
Qualifications and Experience
Education
- University
degree or Higher in Business Administration or a related field from an
accredited academic institution with two years of relevant professional experience;
or
- Completed
High School/Certificate in the above fields with four years of relevant
professional experience.
Experience
- Previous
experience in logistics and stores is a requirement;
- Work
experience in an International organization preferred;
- Working
knowledge of Microsoft office and internet applications;
- Good
data entry skills;
- Flexible
and able to adapt quickly to new, changing environments;
- Objective
and analytical.
Languages: Fluency in English and
Kiswahili is required.
