Job Purpose: Provide basic office support to the assigned department / unit; photocopying, handling mail and other related services, provide general staff support as may be required from time to time and circulate internal communication.

Job Purpose: Provide basic office support to the assigned department / unit; photocopying, handling mail and other related services, provide general staff support as may be required from time to time and circulate internal communication.
Description of Duties
- Documentation
support - Monitor and assist in photocopying, binding and requisition of relevant
stationery in consultation with the Administration department and ensure
the printing/documentation/photocopying area is well organized.
- Mail
processing – Sort and distribute mail as relevant to the assigned office
- Support
work process – Provide office support in work processes as may be relevant
to assigned department/unit including pickup and delivery of items for the
office as required e.t.c.
- Assist
in sending faxes and maintaining the fax machine, notifying the Finance
& Administration Offices when service and supplies are required.
- Assist
in operating the switchboard, directing incoming and outgoing calls as
required by caller, determine the nature of the call and decides on
appropriate routing.
- Support
in record keeping, filing and retrieving of office documents
- Support
in cheque deliveries including payment and remittance of statutory cheques
- Coordinate
and prepare for meetings and other events
- Maintain
office supplies and inventories records including, requisition and
ordering
- Support
in preparing and serving staff tea as well as maintain cleanliness in the
kitchen
- Support
in ground, office cleaning and general office duties
- Perform
any other duties that may be assigned from time to time by supervisor
Key
Qualifications
- Have
Kenya Certificate of Secondary Education.
- Certificate
in computer applications training or Office Practice
- Experience
as an office assistant, experience with Switchboard equipment.
- Valid
Certificate of good conduct
- Valid
driving license Responsible over data/information – may have access to
important and highly confidential information relating to the assigned
office.
- Responsible
over assets – printer, office equipment etc. as may be relevant.
- Basic
organizational skills Knowledge of modern office procedures.
- Mature,
integrity, confidentiality, good interpersonal and customer care skills
