The ICRC Somalia delegation in Nairobi is seeking for an experienced and motivated person to fill the position of:

Purchaser Secretary – Nairobi


He/She performs a predominant support function to all Logistic units in the Delegation (Purchase, Import and Export, Supply Chain Adminstration, Fleet , Warehouse and Logistic Management) 

He/She is in charge / manages’ archiving of all the Logistics documents, ensuring that the required procedures are followed.

Main Responsibilities:
  • Overall responsible for the follow up of cash /voucher/ SMS / scratch card distribution, especially it’s reconciliation.
  • To participate in the procurement orders with purchaser and requester.
  • To follow up the procurement request.
  • Participate in the filing of procurement documents
  • To evaluate and register suppliers with purchasers.
  • Check and inspect the accuracy of data and reports coming from the field.
  • Follow up of Purchases with the field.
  • Ensures samples of goods for delivery are distributed.
  • Ensures completion of Procurement files, before signature circulation.
  • Ensures that relevant copies of contracts are distributed to different sites.
  • Orders -and manages stationary consumption for the Logistics department. Ensure that proper utilisation of the stationary is achieved and that ’re-order levels’ are respected.
  • To manage documentation with Statistician, and tracing of the orders under the file closed or active.
  • Briefs and trains newly employed staff n the general working of the Field supply system (FSS).
  • Organizes frequent internal trainings to ensure that all staff are updated on ‘changes’ that arise in the Logistic department.
Minimum requirements.

  • Secretary diploma or equivalent.
  • Very Good computer skills (Excel, word and Power Point).
  • Good command of written and spoken English (Somali knowledge is an asset).
  • 3 years work experience in a similar field.
  • Methodical person and common sense.

Warehouse Responsible – Nairobi
 
He/She is responsible of one or more warehouse(s) with store keeping activities. 


Ensures physical reception of goods, storage and dispatch is performed according to given procedures.

Main Responsibilities:
  • Manages storage of goods, stock control and stock rotation.
  • To label, identify and include the documents related to the order in the parcels.
  • To guarantee the maintenance of the stocks and warehouse (expiry dates, cleaning, fumigation, etc.).
  • To organise inventories (annual, monthly and spot).
  • To keep and update “tableau de bord” with activities and anomalies indicators (eg. number of deliveries, order preparation, expeditions, inventory losses, expired goods etc…extracts of FSS )
  • To control the quality of the goods and the stock turn over.
  • To guarantee permanent availability of the stocks.
  • To provide full assistant to client/field at all time, mainly independently.
  • To inform Purchases Dispatch and or Procurement for the reception, preparation and expeditions.
  • To group and label the expeditions and include the documents related to the expedition.
  • To transmit the information related to the Cargo Manifest to the Field.
  • To produce the documents related to the orders (packing list).
  • To define order preparation planning with the Purchase, Procurement and Dispatch.
  • To ensure deliveries and orders for a same destination according to instructions.
  • To match suppliers purchase orders forms (PO) against delivery forms and to inform the purchaser.
Minimum Requirements.
  • Secondary school level or technical college.
  • 2 years’ work experience in a similar field of activity.
  • Good knowledge of spoken and written English.
  • Good computer knowledge.
  • Capacity to adhere to and to implement procedures.
  • Good communication skills.
  • Rigor, method and analytical skills.
