Our client, a leading Membership based Business Association in the Financial Services Sector is looking for professionals to run its secretariat and ensure the association’s head office operations are run effectively and efficiently.


The association is looking an for energetic, self driven enthusiastic professional to fill the following position:
     
Office Co-ordinator 

1 Position 

Role Overview: To ensure the membership records and subscriptions are well managed, office equipment are in good working condition and quality material for secretariat events are sourced in good time. 

Key Responsibility 1: Office coordination

Tasks
  • Sending meeting notifications to respective committee members
  • Taking minutes during various Association meetings
  • Maintenance of updated membership database
  • Managing membership recruitments
  • Assist organization of AGM meeting, co-ordination of Association elections and events.
Key Responsibility 2: Front Support services
 
Tasks

  • Receiving and attending to visitors
  • Ensuring mails are distribution to respective offices.
  • Sourcing for material for Association events.
  • Maintenance and updating of the Association website.
  • Ensure the office is clean at all times
  • Maintenance of updated filing system
  • Ensuring all office equipment, furniture, telephone lines and machines are well maintained and in good working condition.
  • Reporting technical problems to the respective offices.
Key Responsibility 3: Public Relations
 
Tasks
  • Assist in development of newsletter on Association activities, events, and create awareness on any new information in the industry.
  • Follow up on preparing and production of publicity brochures, corporate profile, handouts, direct mail leaflets, promotional videos, photographs, films and multimedia program.
  • Oversee production of visual, audio and electronic material, including managing websites.
Skill Requirements

Education Qualifications
  • Diploma in Business or Office Management from an accredited institution or Examinations Body.
Experience
  • At least one year in a busy office environment in the service or NGO sectors.
